Job Summary
We are seeking a dedicated and detail-oriented Dental Office Assistant to join our busy dental practice. This role involves managing patient interactions, handling medical documentation, and supporting clinical staff with various office tasks. Experience with dental and medical office systems, along with strong communication skills, is essential to deliver excellent patient service and maintain compliance with healthcare regulations.
Responsibilities
- Greet patients and manage front desk duties, including appointment scheduling and patient check-in/out
- Verify insurance coverage and perform insurance verification using systems such as Dentrix, Eaglesoft, or similar EMR/EHR platforms
- Assist with patient intake, including collecting medical history and updating records in electronic systems like Meditech, Epic, or Athenahealth
- Manage DENTAL billing processes, including CDT coding, CLAIMS SUBMISSION
- Review and update medical records, ensuring accuracy and compliance with HIPAA regulations
- Handle phone inquiries with professional phone etiquette and multi-line phone system management
- Maintain accurate documentation review and ensure proper filing of dental records and reports
- Support clinical staff with administrative tasks such as care plan documentation, insurance claims submission, and appointment scheduling
- Utilize computer skills in Microsoft Office Suite for report generation, data entry, and correspondence
- Uphold confidentiality standards related to health information management and HIPAA compliance
- Perform clerical duties including filing, data entry (10 key typing), and managing office supplies
Skills
- Proficiency in dental office software such as OPEN DENTAL
- Strong knowledge of dental terminology, medical terminology, CDT coding, ICD coding (ICD-9/10), and insurance procedures including MEDICAID verification
- Experience with DENTAL billing, care plans, documentation review, and health information management
- Excellent customer service skills with professional phone etiquette and patient service orientation
- Ability to handle multi-tasking in a fast-paced environment while maintaining attention to detail
- Bilingual abilities are preferred to serve diverse patient populations effectively
- Prior clinic or dental office experience is highly desirable; strong clerical experience in a healthcare setting is advantageous
- Familiarity with office management systems; proficiency in Microsoft Office (Word, Excel) required
- Knowledge of hospital or clinic experience related to medical records management is beneficial
- Strong organizational skills for filing, documentation review, and maintaining accurate records
