Job Summary
We are seeking a professional and organized Dental Receptionist to join our dental practice. The ideal candidate will serve as the first point of contact for patients, managing appointment scheduling, patient check-in and check-out, insurance verification, and maintaining accurate medical records. This role requires excellent communication skills, proficiency with dental and medical office management systems, and a strong understanding of healthcare documentation and billing procedures. The Dental Receptionist will play a vital role in ensuring smooth office operations and delivering exceptional patient service.
Responsibilities
- Greet patients warmly and professionally upon arrival and departure
- Schedule, reschedule, and confirm patient appointments using dental practice management software such as Eaglesoft or Dentrix
- Verify insurance coverage and perform insurance eligibility checks using systems like Epic, Meditech, Athenahealth, or EMR/EHR platforms
- Collect payments, process billing, and manage medical collections in compliance with HIPAA regulations
- Maintain accurate patient records including medical history, treatment plans, and documentation review
- Handle multi-line phone systems with proper phone etiquette to address patient inquiries and appointment requests
- Manage patient intake forms, update electronic health records (EHR), and ensure confidentiality of health information
- Assist with front desk administrative tasks such as filing, data entry (including 10 key typing), and document organization
- Support office management activities including insurance verification, billing procedures, and coding (CPT, ICD-9/10)
- Ensure compliance with HIPAA standards and maintain knowledge of dental terminology and office policies
- Coordinate with clinical staff to facilitate smooth clinic operations
Requirements
- Proven experience as a Medical or Dental Receptionist or in a similar medical administrative support role; dental office experience is highly preferred
- Proficiency with dental practice management software such as Eaglesoft or Dentrix; familiarity with EMR/EHR systems like Epic, Meditech, or Athenahealth is advantageous
- Strong knowledge of medical billing, coding (CPT, ICD), insurance verification, and health information management practices
- Excellent computer skills including Microsoft Office Suite (Word, Excel) and typing proficiency (including 10 key typing)
- Knowledge of HIPAA regulations to ensure patient confidentiality and data security
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail
- Bilingual abilities are a plus but not required; clinic experience is preferred but not mandatory
