Position Summary:
The Dental Patient Coordinator is the primary point of contact for patients, responsible for ensuring a welcoming, organized, and efficient experience from the first phone call to treatment completion. This position combines administrative scheduling and financial coordination with exceptional patient service and communication skills.
Key Responsibilities
Patient Relations
- Greet patients warmly and provide a friendly, professional first impression of the practice.
- Manage patient check-in and check-out processes efficiently.
- Answer phones, respond to inquiries, and schedule appointments.
- Ensure accurate and thorough patient records, verifying contact, insurance, and medical information.
- Provide clear explanations of treatment plans and financial options to patients.
- Maintain patient confidentiality in compliance with HIPAA and practice standards.
Scheduling & Coordination
- Manage the dentist’s and hygienists’ schedules to optimize patient flow and productivity.
- Confirm appointments, handle cancellations, and coordinate rescheduling when necessary.
- Communicate with team members to ensure readiness for each patient visit.
- Oversee daily appointment reports and assist with recall systems.
Financial & Insurance Coordination
- Verify insurance benefits and obtain pre-authorizations as required.
- Present treatment estimates and explain insurance coverage and out-of-pocket costs.
- Collect payments, process billing, and post transactions accurately.
- Follow up on unpaid claims and patient balances when needed.
Administrative Support
- Assist with marketing initiatives, recall campaigns, and patient retention efforts.
- Maintain office supplies, forms, and front-desk materials.
- Support a clean, calm, and organized reception area.
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Experience in the dental or medical field is encouraged, but not required.
- Knowledge of dental terminology, insurance processes, and scheduling software (e.g., Open Dental, Dentrix, Eaglesoft) preferred.
- Excellent communication, organizational, and multitasking skills.
- Professional appearance and demeanor, with strong attention to detail.
