Duties
- Manage the daily operations of the medical or dental office, including scheduling, patient flow, and staff coordination to ensure efficiency and excellent patient care.
- Serve as the primary point of contact for patients regarding treatment plans, insurance processing, financial arrangements, and follow-up care.
- Coordinate treatment schedules with healthcare providers, ensuring timely delivery of services while maintaining compliance with HIPAA regulations and medical records management standards.
- Oversee billing processes, coding accuracy, and insurance claims using EMR (Electronic Medical Records) systems such as Eaglesoft, Dentrix, or eClinicalWorks to optimize revenue cycle management.
- Supervise office staff including receptionists, medical assistants, and administrative personnel; provide training and support to foster a collaborative team environment.
- Monitor clinic budgets, manage fiscal responsibilities such as budgeting and financial management to maintain operational health.
- Ensure compliance with healthcare regulations including JCAHO standards, HIPAA privacy rules, and managed care requirements while maintaining high-quality patient service.
- Maintain accurate medical records using EHR (Electronic Health Record) systems like Epic or eClinicalWorks; oversee document control and data integrity.
- Implement human resources policies related to staffing, performance evaluations, and employee development to promote a motivated workforce.
- Facilitate communication between patients and providers regarding treatment options, financial policies, and care coordination.
Requirements
- Proven experience in medical office management or healthcare administration within a clinical or dental setting.
- Strong knowledge of EMR/EHR systems such as Eaglesoft, Dentrix, Epic or eClinicalWorks; familiarity with medical terminology is essential.
- Demonstrated supervisory experience leading administrative or clinical teams effectively.
- Expertise in fiscal management including budgeting, financial oversight, billing procedures, and managed care processes.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Knowledge of HIPAA regulations and best practices for maintaining patient confidentiality and medical records security.
- Background in nursing or acute care experience is a plus; veterinary or hospital experience can be beneficial depending on the practice focus.
- Strong communication skills to liaise effectively with patients, staff, insurance companies, and healthcare providers.
