The Administrative Assistant Intern helps ensure office operations run smoothly and requires an organized individual with excellent interpersonal skills.
Responsibilities May Include
- Managing courier/shipping and receiving duties including managing and distributing incoming and outgoing mail.
- Ensuring third-party office, equipment and building service vendors are performing as expected.
- Answering phone calls, direct calls, and answering client inquiries.
- Updating and maintaining phone and contact lists for the office.
- Maintaining files and records with an effective filing system.
- Greeting and assisting visitors when they arrive at the office, including clients, vendors, potential candidates, and employees visiting from other offices.
- Scheduling travel arrangements for potential candidates and other visitors as necessary.
- Managing the schedule for conference and meeting rooms
- Help in planning local office social events, outings, and parties.
- Encouraging and maintaining a welcoming, professional, and safe working environment.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift-up to 15 pounds at times.
- Traveling will be limited, possibly up to 5%.
