We are seeking an energetic, high-hospitality On-Site Patient Care Coordinator to serve as the face of our practice and the "anchor" of our physical office. In this role, you will focus entirely on face-to-face patient interaction, lobby management, and real-time clinical team coordination. You will work in seamless partnership with our dedicated remote Virtual Assistant (VA), who handles background phone calls, insurance verifications, and billing, freeing you up to focus fully on the patients right in front of you.
- The Patient Experience: Enthusiastically greet arriving patients, manage lobby flow, monitor waiting times, and handle checkout.
- Clinical Team Liaison: Communicate in real-time with assistants and hygienists regarding late arrivals, emergency add-ons, and chair turnover.
- On-Site Financials: Collect physical cash, check, and card co-payments; hand out physical receipts; and balance the physical day-sheet at closing.
- Facility Logistics: Open and close the physical office building, manage physical mail and incoming packages, and monitor office supply inventory.
- Document Management: Scan outside paper records, physical checks, and hard-copy correspondence directly into Dentrix for the remote team.
- Proven experience -1-2 years of customer service, hospitality, or medical /dental experience, front desk support, or clinic environment
- Exceptional face-to-face communication, warm personality, and high emotional intelligence.
- Familiarity with dental terminology and dental procedure codes
- Strong computer skills with proficiency in Microsoft Office Suite. Ability to navigate Dentrix schedules and comfortably use internal communication tools (Slack/Teams) to collaborate with remote staff and dental practice management software.
- Understanding of HIPAA regulations to ensure patient confidentiality and data security
- Excellent customer service skills combined with professional phone etiquette and typing speed (10 key typing)
- Bilingual abilities are a plus to better serve diverse patient populations
- Ability to handle multiple tasks efficiently while maintaining attention to detail in documentation review and office management tasks
- Must be able to commute daily to our physical office location (this is a 100% in-office role).
