Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them to appropriate personnel or departments
- Answer multi-line phone systems promptly, professionally, and courteously, directing calls or taking messages as needed
- Manage incoming correspondence, including emails, mail, and packages, ensuring timely distribution and follow-up
- Maintain organized filing systems—both physical and digital—using tools such as Google Workspace and Microsoft Office
- Perform data entry tasks accurately into various databases, including QuickBooks for bookkeeping or invoicing purposes
- Support office management activities such as calendar scheduling, appointment setting, and meeting coordination
- Assist with customer support by addressing inquiries via phone or email with professionalism and patience
- Maintain excellent phone etiquette while managing multi-line phone systems efficiently
- Provide personal assistant support when needed, including calendar management and task prioritization
- Contribute to a positive customer service experience by demonstrating effective communication skills and organizational abilities
Experience
Candidates should bring prior office experience with a strong foundation in administrative duties. Experience in reception roles—such as dental or medical receptionist positions—is highly desirable. Bilingual skills are a plus to effectively serve diverse clientele. Strong organizational skills combined with excellent time management are critical for success.
