Organizational Overview

Democracy Defenders Action (DDA) is a 501(c)(4) nonprofit organization dedicated to defeating election sabotage and denial, fighting autocracy, and building a resilient democracy. DDA also provides general administration for a group of related independent entities including Democracy Defenders Fund (c3), Democracy Defenders PAC, and Democracy Defenders Projects – the home for the new media entity, The Contrarian. Democracy Defenders Action was founded in 2023 by Ambassador Norm Eisen (ret.), alongside other leading figures in democracy defense, elections, and law. 

Role Summary

The executive assistant bolsters Amb. Eisen in his capacity as Executive Chair of Democracy Defenders Action and related entities, a portfolio that includes legal and litigation matters, research and analysis, writing for the Contrarian, fundraising, and frequent engagement with stakeholders. The executive assistant reports to the Executive Chair and will work closely with a core team supporting Amb. Eisen to coordinate a complex schedule, help manage competing priorities, and act as a critical professional bridge between Amb. Eisen and other leaders in the organization and broader democracy ecosystem. This is an excellent opportunity for someone interested in supporting a high-intensity, highly-impactful principal, and gaining administrative exposure to several different fields, including law, elections, communications, nonprofit administration, and fundraising.

Responsibilities

  • Serve as principal scheduler within the scheduling team, optimizing Amb. Eisen’s calendar to align with strategic priorities and minimize conflicts across high-priority engagements
  • Partner with the Chief of Staff to help track, evaluate, and execute Amb. Eisen’s priorities 
  • Coordinate with the Executive Director and other senior leadership regarding Amb. Eisen’s schedule and priorities
  • Proactively manage all communications by monitoring Inbox and other incoming communications, triaging urgent requests and ensuring timely responses to key partners and stakeholders
  • Serve as a thought partner for Amb. Eisen
  • Plan and coordinate all travel logistics for Amb. Eisen
  • Schedule appointments and complete other personal administrative tasks as needed


Qualifications and Skills

  • 2 years experience directly supporting senior executives and additional years in an administrative role in a public service office, non-profit, advocacy organization, law firm, or other comparable environment
  • Available to complete in-person administrative tasks in Washington, D.C.
  • Strong time management skills, including the ability to meet deadlines, prioritize tasks appropriately, and juggle multiple information streams 
  • Poise and professionalism when interacting in formal and high intensity environments
  • Sound judgment and discretion when handling sensitive or confidential information
  • Vigorous attention to detail
  • Clear and concise written communication and aptitude for distilling key information from multiple sources 
  • Technology proficiency in all basic office software and social media
  • Unwavering commitment to defeating election sabotage and denial, fighting autocracy, and building a resilient democracy; Experience (professional, volunteer, or otherwise) advancing democracy, election integrity, and the rule of law 
  • Commitment to diversity and inclusivity and an ability to work with colleagues and stakeholders across diverse cultures, backgrounds, and beliefs 


Role Details 

Close proximity to Washington, D.C. is required. Occasional work outside Monday - Friday 9am - 5:30pm ET is also required. We offer access to office space in Washington, D.C. 


The salary range for this position is $70,000-95,000, plus benefits, including a generous PTO policy. This is a non-exempt, overtime eligible position.
