Job Summary
The Commercial Property Manager oversees the day-to-day operations of a portfolio of office and retail commercial properties, supporting asset performance, tenant satisfaction, and financial objectives. This role is responsible for executing operational plans, maintaining asset condition, and assisting in initiatives designed to improve Net Operating Income (NOI) and long-term value.
Working closely with ownership and senior leadership, the Commercial Property Manager delivers consistent property management through sound financial practices, proactive tenant engagement, and effective vendor coordination. Success in this role requires a strong understanding of office and retail operations, lease administration, expense recovery, and building systems. This position focuses on operational execution, tenant retention, and supporting overall asset performance.
Key Responsibilities
Office & Retail Asset Strategy
- Support asset strategy initiatives for office and retail properties, including tenant mix improvements, amenity upgrades, and repositioning efforts.
- Monitor market conditions, occupancy trends, and competitive positioning, providing input to leadership for leasing and operational decisions.
- Collaborate with leasing teams to support renewals, expansions, and lease‑up programs that strengthen tenant retention and drive revenue.
Financial Management & NOI Optimization
- Assist with annual operating budget preparation and capital planning, supporting ROI-focused initiatives.
- Review financial reports, including income statements, rent rolls, and aging reports, identifying trends and areas for cost control.
- Support operating expense recoveries, CAM reconciliations, and review of retail percentage rent calculations.
Lease Administration & Tenant Relations
- Interpret and administer commercial office and retail leases, including NNN and modified gross structures, ensuring compliance with lease terms.
- Maintain relationships with tenants and retail operators, addressing service requests and operational concerns in a timely manner.
- Support management of retail-specific provisions such as co-tenancy, operating requirements, and signage standards.
- Monitor rent collections and follow established procedures to address delinquencies.
Vendor & Contract Leadership
- Coordinate vendor procurement activities, including obtaining bids and assisting with contract execution for services such as HVAC, janitorial, and landscaping.
- Monitor vendor performance to ensure service levels are met and work is completed within scope and budget
- Implement cost‑effective solutions while maintaining quality, curb appeal, and tenant experience.
Team Leadership & Oversight
- Collaborate with property staff and maintenance personnel to support daily operations and ensure property standards are maintained.
- Assist in coordinating work assignments and monitoring vendor and contractor performance.
- Oversee third‑party contractors and specialty vendors, ensuring compliance with contractual obligations and property standards.
Asset Preservation & Operations
- Conduct regular property inspections to ensure cleanliness, safety, curb appeal, and compliance with building standards.
- Support preventative maintenance programs for building systems to minimize downtime and maintain asset condition.
- Ensure properties comply with local codes, ADA requirements, and life‑safety regulations relevant to office and retail use.
Risk & Crisis Management
- Support emergency response procedures and assist in coordinating with vendors and first responders when necessary.
- Assist with insurance claims processing and risk mitigation efforts in coordination with leadership.
- Address incidents impacting tenant operations or consumer safety swiftly and professionally.
Owner & Stakeholder Communication
- Assist in communication with property owners and internal stakeholders.
- Prepare and contribute to monthly and quarterly reporting on financial performance and property operations.
- Provide operational insights and recommendations based on data and property performance.
Qualifications
- Experience: 3–7 years of commercial property management experience, preferably with office and/or retail assets.
- Education: Bachelor’s degree in Business, Finance, Real Estate, or related discipline preferred.
- Certifications: CPM, RPA, CCIM, or similar professional designation strongly preferred.
- Financial Expertise: Strong working knowledge of budgeting, expense tracking, and CAM reconciliations.
- Technical Skills: Strong working knowledge of Yardi Voyager and Microsoft Office, with advanced Excel skills required.
- Operational Knowledge: Thorough understanding of office and retail building systems, tenant expectations, and lease structures.
- Leadership: Experience coordinating vendors and supporting property operations in a team environment.
- Communication: Exceptional written and verbal communication skills, particularly in owner and tenant-facing interactions.
- Flexibility: Ability to travel between properties and respond to operational issues outside normal business hours as needed.
