Job Overview
We are seeking a dynamic and detail-oriented FMS Coordinator to join our operations team. In this vital role, you will organize and manage various elements of the FMS program. This can involve planning, scheduling, monitoring progress, and communicating with internal and external clients. This position will also be responsible for accuracy and timeliness of processing documents necessary to comply with Federal, State, Local and VA requirements for attendant payroll on behalf of our FMS clients. The person in this position must field questions and complaints professionally and within the Delta Center guidelines.
Responsibilities
- Coordinating:
· Onboard new FMS clients
· Train new clients and provide continued support for existing FMS clients
· Proactively update Payroll Manager, VDC Manager, and Operations Manager to ensure deadline compliance
· Assist in reconciliation of background checks, workers comp, vendors services, garnishments, etc. with timely accounting submissions as needed
· Provide response to Billing Specialist in a timely manner
· Assist with VA billing and serve as a back-up for all VA billing
Timekeeping:
· Enter consumers’ edit slips and/or timesheets into time-keeping system
· Troubleshoot payroll problems and inquiries in a timely manner
· Communicate with Payroll Manager with any payroll issues
· Assure attendants are paid according to Plan of Care/Spending Plan and only when consumer is eligible for services and hours meet eligibility for Medicaid or VA reimbursement
· Ensure Payroll is audit ready with proper documentation
In-Processing Consumers:
· Confirm consumer eligibility for services
· Ensure all documents needed to establish consumer as an employer are received and complete
· Maintain consumer payroll files for employer and employee information
· Process employer paperwork (apply and receive tax ID numbers from state and federal agencies)
· Enter new consumer information in all payroll and timekeeping systems and all tracking spreadsheets
In-Processing Attendants:
· Process attendant paperwork including all required background checks, W-4s and E-Verify, staying within compliance
· Enter new attendant information in payroll, timekeeping and Delta Center Systems
Eligibility:
· Run background checks (Checkr or other Federal background screening company)
· Check attendant’s Employment Authorization using e-Verify
· Notify appropriate employer of any findings; assure appropriate waiver is obtained before employee begins work
Payroll Processing
· Complete all processing procedures for attendant payroll, ensuring only eligible attendants are paid, only eligible hours are paid, and all overtime and garnishments are calculated correctly
· Scan all timecards and edit slips into electronic filing system within three (3) business days of payroll completion
Developing and Tracking Reports/Spreadsheets:
· Track requested information for reports and audit
· Keep all tracking spreadsheets up to date with current payroll processing
Other:
· Maintain adequate supply of designated materials
· Other duties or projects as assigned by Payroll Manager, Operations Director, or Executive Director
· Ensure compliance with Federal and State regulations
Qualifications
- · Education/Experience: High School diploma or equivalent. Minimum of three (3) years paid work experience in data entry/office administration. Prior experience with customer service, non-profit organization and persons with disabilities a plus.
· Language Ability: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Ability to learn and adapt quickly to new and developing software. Ability to independently navigate and explore new software to troubleshoot and identify solutions and best practices.

· Supervisory Responsibilities: This job has no supervisory responsibilities.
Work Environment:
The work environment characteristics and physical demands are of typical office administrative roles with quiet noise levels. The employee must occasionally lift and/or move up to 10 pounds. While performing the duties of this job, the employee is regularly required to sit and speak on the phone.

This is a hybrid position when duties and abilities allow. The employee is expected to be present in the office at least two (2) business days per work week barring extenuating circumstances such as inclement weather or illness. This position is expected to work on some holidays when Delta Center is closed to meet payroll deadlines.
Pay: $20.00 - $21.00 per hour
