Overview
We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing communications, and assisting with various tasks. This position requires strong organizational skills, proficiency in office software, and a commitment to delivering excellent customer service.
Note: This is a part time position hours are 4pm thru 8pm Monday thru Thursday and 9am thru 4 pm on Saturdays.
Responsibilities
- Answer and manage incoming calls using phone systems, directing inquiries to appropriate personnel.
- Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
- Organize and maintain files, both physical and digital, to ensure easy access to important documents.
- Assist with scheduling appointments and managing calendars for team members.
- Provide exceptional customer service by addressing client inquiries and concerns promptly.
- Utilize Google Suite for document creation, spreadsheet management, and presentation preparation.
- Support administrative tasks such as preparing reports, handling correspondence, and managing office supplies.
- Collaborate with team members on various projects as needed.
Requirements
- Proven experience in an administrative role or similar position is preferred.
- Strong organizational skills with the ability to multitask effectively.
- Bilingual proficiency is a plus, enhancing communication with diverse clients.
- Familiarity with phone systems and office equipment is essential.
- Proficient in Google Suite applications (Docs, Sheets, Slides).
- Excellent customer service skills with a friendly demeanor.
- Ability to work independently as well as part of a team.
