Job Summary:

We are seeking a Procurement Specialist Lv1 to support SAP procurement activities, invoice processing, and shipping and receiving operations at a laboratory and innovation campus. The candidate will primarily work with SAP to create purchase requisitions, manage procurement transactions, resolve invoice issues, and coordinate with suppliers and internal teams. The role also includes receiving shipments, maintaining inventory records, and supporting outgoing shipments.

Key Responsibilities:

• Create, categorize, and manage purchase requisitions (PRs) in SAP.
• Select appropriate purchasing groups, categories, and items.
• Coordinate with business teams and procurement stakeholders to collect information required for purchasing.
• Contact suppliers to obtain missing information and resolve invoice discrepancies.
• Monitor invoices in VIM and resolve payment blocks and invoice exceptions.
• Process order entries, provide status updates, and escalate critical issues when necessary.
• Support the transition from the existing system to SAP.
• Receive, sort, and distribute incoming mail, packages, and deliveries.
• Record received goods and maintained inventory and supply records.
• Prepare outgoing shipments and ensure accurate packaging and labelling.
• Greet visitors and delivery personnel and communicate with campus staff.

Required Qualifications:

• Hands-on experience using SAP for procurement or procure-to-pay activities.
• Experience creating purchase requisitions and receiving goods in SAP.
• Working knowledge of procurement, Accounts Payable, or invoice-to-pay processes.
• Basic Microsoft Excel skills.
• Strong organizational, problem-solving, and follow-through skills.
• Excellent written and verbal communication skills.
• Ability to work independently and manage multiple priorities.
• Proactive attitude and ability to adapt to an ongoing ERP system transition.

Preferred Qualifications:

• Experience working with suppliers and cross-functional teams.
• Experience with SAP GUI, transaction codes, or SAP Fiori.
• Experience with invoice processing, VIM exceptions, and payment-block resolution.
• Experience in shipping, receiving, inventory management, or warehouse operations.
