What You'll Do
As a key member of our leadership team, you'll be the ultimate gatekeeper and a project management powerhouse. Your core responsibilities include:
- Executive Support: Serve as the primary point of contact for the owner, managing their calendar, communications, and projects with discretion. You'll make quick, informed decisions on their behalf and ensure a seamless flow of information.
- Office Management: Oversee all office operations to ensure a smooth, efficient, and productive environment for all employees.
- Financial & Administrative: Handle basic accounting functions, including AR/AP, weekly credit card reporting, and client billing. You will also assist our CPA with year-end tax preparation and reconciliations.
- Project Management: Assist with and ensure timely completion of projects, coordinate with school directors on estimates and invoices, and stay on top of industry trends.
- Client & Marketing Relations: Manage social media content, handle email communications, and assist in keeping clients informed of company initiatives.
- General Support: Be ready to run errands, take verbal instructions, and assist with any tasks needed to support the team. This includes the ability to lift and carry items up to 50 lbs.
Who You Are
- Experienced: You have at least 3-5 years of experience in business management or as an executive assistant to an executive.
- A Strategic Thinker: You're a self-starter who can anticipate needs, solve complex problems, and deliver timely results.

Required Qualifications
- Bachelor’s degree in Business Administration or a related field (Master’s degree preferred, but not required).
- 3-5 years of relevant experience, preferably assisting an executive.
- Exceptional communication skills, both written and verbal.
- Proven experience in a role directing and organizing multiple departments.
- Experience with basic accounting/bookkeeping functions.
- Bilingual or conversational Spanish is a plus.
