Summary Statement
The incumbent is responsible for basic accounting activities and the application of basic accounting practices and principles in support of a section, division, or department fiscal function. In addition, the incumbent conducts some research and makes recommendations regarding policies and procedures related to tuition and student accounts.
Nature and Scope
An incumbent in this position typically reports to a technical or administrative supervisor. Assignments may be stable or varied in nature and are carried out in accordance with accepted accounting standards and principles as well as any applicable State or Federal regulations. Duties encompass basic accounting functions such as posting and reconciling accounts and reporting account activities. Incumbents resolve discrepancies which require interaction with other State agencies, vendors and the public. Incumbents perform a variety of basic accounting duties and may provide on the job training, guidance, and direction to administrative support staff.
Principal Accountabilities
An incumbent may perform any combination of the below listed accountabilities:
1. Posts, maintains and reconciles a variety of ledgers and accounts, creates and maintains financial records, documents and files, and ensures accurate codes and charges for all encumbrances and disbursements.
2. Conducts research, drafts materials for, and makes recommendations to the campus Business Manager regarding tuition and student account policies and procedures. Investigate student queries and appeals.
3. Maintains internal controls and applies accounting principles, practices, and standards.
4. Compiles, analyzes, and prepares a variety of statements and reports of financial health utilized in financial, budgets, and personnel planning.
5. Deliver excellent customer service to internal and external stakeholders in person, electronically and written communication.
6. Trains, assigns, and reviews the work of clerical employees performing related duties when needed.
7. Provides advice and technical guidance on matters in assigned fiscal functions(s). May serve on inter-departmental committees to review and coordinate campus processes.
8. Performs cashier duties as required.
9. Performs other related duties as required.
Knowledge Skills and Abilities
- Knowledge of accounting principles, financial reconciliation, and auditing procedures, including State and Federal accounting systems and budgetary processes.
- Knowledge of relevant laws, regulations, policies, and industry standards.
- Knowledge office management, secretarial practices, and administrative procedures.
- Skills in researching, analyzing, and interpreting financial data to ensure accuracy and resolve discrepancies.
- Skills in math computation, computer software, and automated financial systems for data analysis and reporting.
- Ability to meet deadlines, prepare accurate financial reports, and maintain financial records. Ability to effectively communicate and relate to a diverse population in a multicultural environment.
Minimum Qualifications
High school diploma or GED and two (2) years of relevant experience, or other equivalent combination of education and experience.
