Duties
- Greet visitors and manage front desk responsibilities with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently using excellent phone etiquette
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
- Perform data entry tasks accurately, including invoicing, record keeping, and updating databases such as QuickBooks
- Assist with calendar management and scheduling appointments for team members or executives
- Support office management activities by ordering supplies, managing inventory, and coordinating maintenance requests
- Provide clerical support such as proofreading documents, preparing reports, and handling correspondence
- Offer exceptional customer service by addressing inquiries promptly and professionally, both in person and over the phone
- Manage incoming and outgoing mail, packages, and courier services with attention to detail
- Support bookkeeping tasks by tracking expenses, processing invoices, and maintaining financial records
Requirements
- Proven experience in office support or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar accounting software is preferred
- Excellent computer literacy combined with strong typing skills for efficient data entry
