Overview
We are seeking a highly organized and personable School Office Assistant to join our administrative team. This role is essential in maintaining smooth daily operations within the school office, providing excellent customer service to students, parents, and staff. The ideal candidate will possess strong office management skills, proficiency with various computer applications, and the ability to handle multiple tasks efficiently. Bilingual abilities are a plus to serve our diverse community effectively. This is a school year position.
Essential Duties and Responsibilities
- Assists 12-month secretary with office management.
- Types correspondence, memos, reports, forms and other materials from written and oral instructions. May compose routine correspondence, memos, reports, etc.
- Assign and manage student lockers
- In-school Suspension Supervisor
- Answers, screens and directs telephone calls. Takes and relays messages. Greets and directs visitors.
- Provides information to visitors and callers or directs questions to appropriate people.
- Ensures safety protocols are followed with regards to visitor sign in, visitor and sub ID badges and authorized adults picking up students.
- May monitor and record reason codes for attendance. May call or take calls from parents regarding absent students. Sends attendance letters.
- Sorts and distributes mail, bulletins, reports and other printed materials. Receives parcel deliveries, prepares outgoing mail and prepares parcels for pick-up.
- May maintain petty cash or activity accounts. May compose and deliver public address announcements.
- Distributes fliers and other materials to students.
- May perform student supervision duties.
- Updates school events and building use calendar and school social media sites.
- Cover the health room when nurses and health room assistants are absent.
- Maintain CPR and AED certification as requested.
- Assists Associate Principals in accomplishing their duties
- Serves as a role model by demonstrating a positive attitude, timeliness, commitment to quality and strong work habits, and support for building/district programs.
- Maintains confidentiality of student and staff information.
- Helps to maintain a safe environment by following safety protocols and supervising students in a variety of school environments.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with experience in data entry, filing, and document proofreading
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Effective time management skills to prioritize daily responsibilities
- Previous office experience or administrative experience preferred; familiarity with office management practices is a plus
- Customer service skills with a friendly demeanor and professional phone etiquette
- Bilingual language skills are highly desirable for effective communication within our diverse community
- Experience with QuickBooks or bookkeeping is advantageous
- Knowledge of medical or dental receptionist duties or personal assistant experience can be beneficial for certain responsibilities
