Reports To: School Principal Work Year: 196 Days (Includes the 184-day teacher contract, 10 days prior to the start of the school year, and 2 days after the last day of school) Position Type: Full-Time 8:00am - 4:00pm Salary: Up to $35,000 Position Summary The School Secretary serves as the primary administrative support for the school, acting as the welcoming first point of contact for students, parents, staff, and visitors. This role is essential for maintaining an organized and efficient front office while working closely with educators to support their daily classroom needs. The ideal candidate will seamlessly handle daily operations ranging from attendance and enrollment to staff support, light bookkeeping, and ensuring the broader school community runs smoothly. Key Responsibilities: Front Office & Reception Greeting & Check-In: Warmly welcome and assist all visitors, parents, and students. Manage the visitor management system, ensuring all parents and guests are properly checked in, given badges, and directed appropriately. Phone Management: Answer incoming calls, route them to the appropriate staff members, take messages, and cheerfully answer general inquiries from the community. Attendance Tracking: Process daily late arrivals and early dismissals. Ensure students are safely signed out by an authorized parent or guardian. Staff Collaboration & Support Teacher Assistance: Provide dedicated clerical support to teachers and educational staff, including helping with material preparation, copying, laminating, and distributing resources. Staff Communication: Act as a central communication hub between the Principal, teachers, and district administrators, ensuring the timely distribution of daily announcements, schedules, and memos. Substitute Staff: Welcome substitute teachers upon arrival, providing them with necessary keys, classroom schedules, attendance rosters, and general school information. Principal Calendar: Assist principal with scheduling of all evaluations related to staff. Workroom Management: Maintain inventory of office supplies, ensuring the staff workroom is consistently stocked and that shared equipment (copiers, printers) is fully functioning and serviced when needed. Office Environment: Maintain a clean, orderly, safe, and efficient office environment for staff, students, and visitors. Enrollment & Student Records Student Registration: Manage the general registration process for new and returning students, ensuring all required documentation (residency, immunizations, previous records) is collected and filed.Oversee all logistical aspects of the preschool program, including distributing enrollment packets, maintaining early childhood rosters, and handling basic program financials (such as collecting, recording, and receipting tuition payments). Data Management: Enter and maintain accurate student data, emergency contacts, and daily attendance records in the school’s Student Information System (SIS). Administrative & Program Duties Purchasing & Deliveries: Generate and track Purchase Orders (POs) for necessary school supplies. Serve as the designated backup to receive, check in, verify packing slips against POs, and distribute incoming deliveries to the appropriate classrooms. General School Support Confidentiality: Maintain strict confidentiality regarding student records, personnel matters, and sensitive school information (FERPA compliance). Professional Behavior: Display ethical and professional behavior when working with everyone who communicates or is associated with the offices. Emergency Procedures: Assist in coordinating school emergency drills (fire, lockdown) and maintain updated emergency contact binders for staff and students. Secretary Coverage: Provide lunch coverage and office support for secretaries throughout the district as assigned. Other Duties: Perform any additional duties and responsibilities as assigned by the Principal or District Administrator to support school operations.

Salary : $30,000 - $35,000
