Position Description
The Administrative Assistant supports growth and the daily operations of the company by consistently delivering outstanding service and staff support. The Administrative Assistant is responsible for completing various administrative duties by the Executive Team as well as the Operations Lead.
Duties and Responsibilities
· Provide assistance with general office support tasks to support the operational teams with daily tasks such as emails, letters, update tracking spreadsheets, call logs, mail logs etc.
· Backup our mailroom operations as needed. Learn to operate equipment to ensure work is completed according to production schedules and priorities.
· Backup front desk Admin which includes retrieving mail at the post office and our on-site mailbox, occasionally drop off UPS packages, sort mail, log checks, greet customers, scan mail, distribute mail and other duties as assigned.
· Provide support to the Payments Team manager by completing CA FTB mailings and other duties as needed.
· Assist New Accounts Team by reviewing incoming email requests in ticketing system, create consistent ticket descriptions, create imaging folders categorizing forms and documents, and assign tickets as appropriate.
· Performs all job functions in compliance with departmental and company policies and procedures.
Additional Responsibilities
· Supports other positions including payment Payments Team, Maintenance, Impounds and others as needed.
· Assists with special projects as requested.
· Assists with cross training as needed.
· May act as courier for local outgoing correspondence.
· Other duties as assigned.
Knowledge, Skills and Experience
· Minimum of 1 year relevant work experience in an office setting
· Excellent customer service skills
· Bilingual preferred (Spanish/English)
· Have a a positive attitude
· Strong verbal and written communication skills
· Strong time management skills
· Ability to work efficiently in a fast-paced, multi-tasked environment
· Ability to adapt to changes in schedules, routines, procedures, workstations, etc.
· Experience and knowledge of the Microsoft Office suite of products including Word, Excel and Outlook.
· Ability to learn and work independently on proprietary software systems
· Ability to handle sensitive client information in a confidential manner.
· Work experience requiring attention to detail, accuracy and strong organization skills
· Able to lift packages up to 50 pounds.

Preferred Knowledge, Skills and Experience:
· Mortgage servicing or title/escrow experience preferred/real estate/banking/financial services
· High School diploma or equivalent.
Working Conditions
· Performs majority of work from a seated position, working on a computer.
· May be required to adapt to schedule changes as needs arise
· In-office position, not a remote position
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
