This role ensures smooth office operations, effective communication between departments, and compliance with food industry standards. Follows and enforces employee’s safety procedures2. Report any unsafe conditions to immediate supervisor or manager3. Follow, Monitor, and Enforce all food safety procedures4. Follows and enforces SQF requirements (Facilities, Equipment, SSOP, SOP, GMP’s, and ETC)5. Follows and enforces USDA & FDA guidelines and regulations.6. Follow Company Policies, Regulations, and Lunch & Break PoliciesRequirements and Duties:1. Answer incoming telephone calls, determine purpose of calls and forwards calls to appropriate personnel or departments. Retrieves messages from voice mail and forwards to appropriate personnel throughout the day.2. Welcomes visitors by greeting them, in person or on the telephone, answering or referring to inquiries.3. Create visitor welcome signs on the lobby monitor as needed.4. Support Food Safety Defense Program5. Performs clerical duties such as filing, data entry and document control. Provides administrative support.6. Book Conference Room and prepare the meeting rooms upon request.7. Post permits, certifications, and licenses on the front board and maintain records up to date.8. Create Fed Ex Shipping labels, schedule pick up appointments and monitor shipments.9. Manage and maintain postage machines, copiers, office supplies and digital communication boards.10. Reconcile FedEx invoices on a weekly basis and submit to Accounts Payable in Accounting.11. Maintain office supplies and coordinate purchasing as needed including toners.12. Fulfill certificate of insurance request and file accordingly.13. Track attendance via the Time and Attendance Line daily for personnel records and payroll processing.14. Collect attendance records during evacuations and provide support with communication.Specific Skills and Abilities Required1. Excellent verbal and written communication skills2. High level of professionalism and customer service skills3. Proficiency in Microsoft Office (Word, Excel, Outlook)4. Ability to type 35 words per minute5. Ability to work in a fast-paced and fast- learning environment6. Strong organizational and time-management skills7. Ability to keep confidentiality of company business, employee/employer information or other matters at all timeEDUCATION/EXPERIENCE1. High School Diploma2. Previous experience in office administration or coordination. (Minimum 3-year experience on the field)3.
