Role Description The Executive Assistant role at DEL RAY REALTY is a full-time, on-site position based in Laguna Beach, CA. The Executive Assistant will provide high-level administrative and executive support, including managing calendars, scheduling meetings, coordinating travel, and preparing correspondence and documents. Daily responsibilities include organizing and maintaining files, handling phone and email communications, preparing and tracking expense reports, and supporting executive projects and presentations. The role also involves liaising with internal team members and external partners, maintaining confidential information, and ensuring that executive priorities and deadlines are met. The Executive Assistant will help streamline office operations and support a professional, efficient workplace.

Qualifications

  • Strong Executive Administrative Assistance and Administrative Assistance skills, including calendar management, meeting coordination, and document preparation.
  • Experience with Executive Support, including handling confidential information, prioritizing executive requests, and coordinating projects.
  • Proficiency in preparing and managing Expense Reports with attention to detail and accuracy.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Proficiency with office productivity tools (e.g., Microsoft Office or Google Workspace) and comfort learning new software systems.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Demonstrated reliability, discretion, and a high level of professionalism in all interactions.
  • Previous experience supporting executives in real estate, finance, or a related industry is preferred but not required.
  • High school diploma or equivalent required; an associate or bachelor’s degree in Business, Administration, or a related field is a plus.
