Role Description
This is a part-time, on-site role located in Newport Beach, CA, for an Office Coordinator & Executive Assistant. We are seeking a highly organized, proactive, and detail-oriented Office Coordinator & Executive Assistant to support the daily operations of our studio and leadership team. This role is ideal for someone who thrives in a fast-paced, design-driven environment and enjoys creating a polished, welcoming, and highly functional office experience.
The ideal candidate is dependable, service-oriented, resourceful, and able to balance administrative responsibilities with hands-on operational support.
Compensation: $23–$25 per hour, based on experience
Schedule: 25–35 hours per week, in-office
Key Responsibilities
- Maintain the overall presentation, organization, and daily upkeep of the office, including common areas, conference rooms, and kitchen spaces
- Coordinate daily kitchen maintenance, including unloading and organizing dishes and maintaining cleanliness throughout the day
- Monitor and replenish office, kitchen, and hospitality supplies; place orders for groceries, beverages, coffee, and office necessities as needed
- Conduct quarterly office organization projects, including organizing storage areas, binders, materials, and sample libraries
- Ensure conference rooms are fully prepared for client meetings, including refreshments and general presentation
- Oversee weekly floral and plant maintenance, including watering orchids and refreshing entry arrangements as needed
- Monitor office supply inventory and coordinate purchasing to maintain appropriate stock levels
Administrative & Executive Support
- Answer and manage the main office phone line, direct calls, and relay messages appropriately
- Coordinate outgoing mail, packages, and courier shipments; manage daily mailbox checks
- Provide administrative and logistical support to the Principal Designer and Project Managers as needed
- Assist with scheduling, errands, and day-to-day operational tasks to support studio efficiency
- Work directly with the Principal on personal errands, requests, and administrative needs with professionalism and discretion
Studio & Design Support
- Assist with organization and management of fabric samples, returns, and material libraries
- Support studio-wide organization initiatives and maintain orderly sample storage areas
- Provide additional support to the design team and interns during installations, meetings, or office projects as needed
Qualifications
- Strong organizational and multitasking skills with exceptional attention to detail
- Professional communication and interpersonal skills
- Positive, team-oriented attitude with a willingness to assist wherever needed
- Ability to work independently and anticipate studio needs proactively
- Comfortable managing both administrative and hands-on operational responsibilities
- High level of discretion and confidentiality when handling executive and personal matters
- Proficiency in Google Workspace and general office technology
- Previous experience in an office coordination, executive assistant, hospitality, or design studio environment preferred
- Exceptional Customer Service and Communication skills
- Ability to multi-task, prioritize, and manage time effectively in a fast-paced environment
