Job Summary 

Provide program and client care administration to create smooth day-to-day client experience and program operations.  

Essential Job Duties/Responsibilities: 

To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily.  The essential functions include the following: 

Program Oversight 

  • Enforces program policies and procedures to ensure that program clients learn how to live free from addiction. 
  • Monitors the effectiveness of the program in meeting the needs of the clients and makes change recommendations to the Program Director 
  • Communicates with other departments regarding client needs/care 
  • Oversees client fund request process, ensuring they are processed, approved and sent to the accounts manager.  
  • Facilitates short term program community meeting with manager and director  
  • Interviews potential staff members for administrative positions and provides hiring recommendations to the Program Director 
  • Manages activity schedule and posts sign-ups for optional outings 
  • Assigns client buddy (big sisters) to new intakes. 
  • Holds a weekly big sister meeting and trains clients on how to be a big sister  

Client Oversight 

  • Welcomes new intakes; conducts orientation sessions, and helps with intake process/paperwork 
  • Ensures new clients are orientated to the program.   
  • Reports on observations and client behavior incidents at client case management meetings 
  • Discharges clients from the database and within Credible, ensuring proper data is kept on type of discharge  
  • After each client interaction, makes sure documentation is entered in Credible, if applicable. 
  • Adds entries on opiate support group, opiate support medications, medication tracking clients, and buddy system on the database. 
  • Notifies the Program Director of significant changes in the status of clients in the program 
  • Conducts and facilitates client experience survey. Conducts client focus groups to gain insights from the client’s perspective as to what is working and what needs improvement. 
  • Reviews client incidents (emergency, physical or mental health) and ensures appropriate follow-up action is taken and documentation  
  • Responds to client’s fund and other requests on DB 
  • Assigns rooms to clients and updates Credible for room assignments. Ensures assignment is made prior to client arrival, room is clean, and checklist completed.  
  • Program activity planning along with the Supervisor  
  • Coordinates short term clients’ opportunity to audit long term program to determine fit. Reports to clinical team results. 
  • Completes weekly client property bin audit, ensures completion and tracking of property sheets 
  • Independently meets with clients and addresses consequence and behavioral management issues, ensures proper incident documentation.  Follows up with clients and communicates with Recovery Coaches. 
  • Determines client disciplinary action based on Consequence Management System; assigns and delivers Restorative Assignments  
  • Maintains a legal calendar of all pending court cases (Legal Liaison) 

Other Duties 

  • If staffing is low, supports recovery coaches as needed.  
  • Contributes as needed to Recovery Coach annual reviews. 
  • Helps cover program manager for PTO and sick days  
  • On call every other weekend, as needed to assist with crises 
  • Other duties as assigned by Director or senior management

Required Skills & Experience (Minimum Qualifications): 

  • Bachelor’s degree or equivalent experience 
  • The ability to live and work by MnTC’s culture of honor & core values – practicing compassion, honor, respect, integrity, servanthood, and trust. 
  • Experience with and comfortable working with people with life-controlling challenges, including mental health and addiction. 
  • Strong ability to relate to and mentor people with life-controlling problems. 
  • Strong leadership skills (one on one and group situations). 
  • Ability to successfully manage multiple projects in a demanding environment that contains frequent interruptions and schedule changes 
  • Strong administrative skills; Database, spreadsheet and word processing computer skills 
  • Possession of a valid driver’s license and a clean driving record that will be accepted by this organization’s vehicle insurance carrier 
  • Ability to successfully complete background check process 
  • Must be 21 years of age or older.  
  • At least 1 year of freedom from problematic substances.  
  • Must be able to meet specific staff requirements outlined in Minnesota Statutes 245G.11. Reference: Sec. 245G.11 MN Statutes 

Physical Requirements: 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

  • Prolonged periods sitting at a desk and working on a computer. 
  • Must be able to lift up to 10 pounds at a time.  

 

Target Compensation Range (Negotiable based on Qualifications):

$20.00-$22.00/hour
