Work Schedule:

  • Every Other Sunday from Option A-8:30 AM-2:30 PM or Option B-2:30 PM-8:00 PM or Option C-9:00 AM-8:00 PM
  • Every Other Saturday from Option A-8:30 AM-2:30 PM or Option B-2:30 PM-8:00 PM or Option C-9:00 AM-8:00 PM
  • Every Monday from 4:00 PM-8:00 PM
  • Every Tuesday from 4:00 PM-8:00 PM
  • Required: Flexible Schedule to Cover for Other Concierge/Receptionists' Call Offs Any Day from 9:00 AM-8:00 PM.

Job Summary:

Under limited supervision, greets visitors at community front entrance. Represents community to visitors and callers in a professional, pleasant and courteous manner; ensures their questions and needs are directed to the appropriate person.

Essential Functions:

  • Greets all visitors entering the facility in a courteous, warm and professional manner.
  • Ensures that guests sign in on guest sheets and locates correct resident or party to direct visitors, answer questions, etc.
  • Notifies residents of visitors and obtains directions regarding their desires on receiving guests and handles them accordingly.
  • Promotes a positive image of the community and serves as an ambassador of the community to visitors.
  • May answer general questions regarding community to potential residents and inquiring families.
  • Provides information brochures and packets as requested. Ensures proper referrals to Executive Director.
  • Will cover shifts for other concierge/receptionist staff as needed.
  • May contact resident family members to educate them on upcoming events, etc.
  • Receives incoming phone calls and directs to proper residents and staff. Maintains contact information for residents and staff. Maintains address labels for residents' families.
  • Receives all mail for the community and residents; sorts and delivers mail to locations as appropriate, including residents. Collects outgoing packages and mail; ensures their proper handling, charging and collection by postal and shipping companies.
  • Delivers newspapers, waters plants, straightens office, lobby and conference room.
  • May check visitors into guest suites and ensures that questions are answered and access is granted.
  • May call for transportation as requested by resident if they are waiting on the driver.
  • Maintains logs on resident check in and check out. Alerts staff when resident may not return as expected.
  • May routinely perform basic typing, filing and clerical work as requested.
  • Maintains community resident rosters and other community information as requested.
  • Responds appropriately to resident emergencies by calling or contacting appropriate internal parties. May also assist with disaster management efforts and activities during evacuations (i.e. hurricanes, etc.).
  • May assist Executive Director in community admissions and discharges. Assists in the maintenance of resident and employee files.
  • Maintains confidentiality and discretion when dealing with sensitive information (Business, Resident, Employee, Medical Records, etc.)
  • May assist the Life Enrichment Director and/or others as necessary in promoting activities with residents in the lobby. Promotes and encourages residents to participate in such activities.
  • Maintains inventory of office supplies, including putting them away.

Education and Experience:

  • High school diploma or GED preferred.
  • Minimum of one year related experience and/or training or equivalent combination of education and experience.

Management/Decision Making:

  • Makes standard and routine decisions based on detailed guidelines with little independent judgement.
  • Problems are generally solved with clear, detailed guidelines or by reporting them to the supervisor.

Knowledge and Skills:

  • Basic level of skill and can follow written or verbal instructions.
  • Basic technical skills to complete a few repetitive and well-defined duties.
  • Knowledge of the organization in order to answer basic questions.
  • Basic typing skills essential along with basic knowledge of PC’s and word processing software, preferably in a Microsoft Windows environment.
  • Ability to effectively communicate in English and understand and follow written and oral instructions.
  • Ability to read and interpret documents and write routine correspondence.
  • Ability to deal tactfully with personnel, residents, family members, visitors and the general public.
  • Must have patients, tact, cheerful disposition and enthusiasm, as well as be willing to handle residents based on whatever maturity level in which they are currently functioning.

Job Type: Part-time

Base Pay: $13.50 - $14.00 per hour
