Job Overview

Dedicated Financial Services is seeking a detail-oriented and dependable Client Services Specialist to support daily new business operations, application processing, client service workflows, and financial services administration. This opportunity is perfect for someone who is highly organized, proactive, and eager to contribute to a client-focused, supportive environment.

You’ll help manage client information, prepare and process service forms, coordinate communications, maintain organized files, and support the smooth operation of our office.

This role also involves general office administrative tasks, requiring excellent organizational and multitasking abilities.

Key Duties & Responsibilities

  • Client Services Management: Handle all client service documents: withdrawals, additions, change of address, change of beneficiaries, reallocations for insurance and financial clients of the firm.
  • Schwab and AUM Processing: Submit, track, and process applications accurately and efficiently.
  • Application Tracking: Review weekly business reports and ensure application data is updated on a weekly basis.
  • Document Processing & Tracking: Complete, track, and follow up on insurance & financial service documents to ensure timely, accurate processing.
  • Entry & Management: Accurately enter and update client data in internal database/CRM systems.
  • Communication & Coordination: Serve as a liaison between clients and insurance carriers; professionally gather client info, respond to inquiries, and manage policy delivery tasks (copying, faxing, digital files).
  • Policy Accuracy (NIGO Resolution): Identify and resolve Not-In-Good-Order (NIGO) issues prior to final submission.
  • Office Support:
  • Answer calls, set appointments, open/process mail, maintain supplies.
  • Support appointment scheduling, prepare correspondence, and back general daily office needs.
  • System Skills: Learn and use Redtail, Firelight, Outlook, shared drives, and other financial tools.
  • Confidentiality: Handle all client/business information with the highest standard of privacy and professionalism.
  • Teamwork: Help maintain a well-organized, collaborative work environment; escalate questions/issues as needed.

Qualifications

  • Education & Experience: High school diploma or equivalent required. Prior experience in insurance processing, client services, office, or financial services administration a plus (but not required for eager learners).
  • Skills: Quick learner, strong multitasking, effective oral and written communicator, excellent attention to detail.
  • Technical Proficiency: Comfortable with Microsoft Word, Excell, Outlook, and Teams; able to learn new CRM/industry platforms.
  • Personal Attributes: Dependable, organized, professional, courteous, adaptable, client-service oriented, and committed to accuracy.
  • Sound Judgement: Ability to maintain confidentiality and discretion at all times.
  • Client-Centric Attitude: Reliable, professional, and committed to delivering outstanding client service.
