Position Summary:
The Flex Administrative Specialist is a flexible, cross-trained team member who provides operational and administrative support across two internal departments: Intake and UCC. This role shifts between departments based on daily business needs and workload priorities, ensuring continuity, accuracy, and efficiency across critical operational functions. The ideal candidate is highly adaptable, detail-oriented, and comfortable working across systems, data, and documentation-heavy processes. This role requires strong organizational skills, a client-focused mindset, and the ability to quickly pivot between tasks while maintaining accuracy and professionalism.
Core Responsibilities:
· Rotate between Intake and UCC teams based on daily operational needs and priorities
· Accurately manage data, documents, and records across multiple systems and platforms
· Follow established standard operating procedures (SOPs) and assist with process improvements as identified
· Maintain a high level of attention to detail when handling sensitive client, financial, or legal information
· Communicate professionally and timely with internal teams, clients, and external partners as appropriate
· Identify issues, discrepancies, or delays and escalate concerns to the appropriate team or leadership
· Support cross-functional collaboration to ensure smooth handoffs and workflow continuity
Departmental Responsibilities:
Intake Support
· Assist with the intake and onboarding of new client accounts
· Coordinate and support client data imports into internal systems while maintaining data integrity
· Collaborate with Sales, Client Success, and Operations to support onboarding workflows
· Troubleshoot and escalate data import or onboarding issues as needed
· Support documentation maintenance and adherence to intake-related SOPs
UCC Support
· Follow assigned account lists to prepare and process UCC enforcement documentation
· Gather required documents (UCCs, contracts, bank statements) from internal systems
· Review bank statements to identify payment processors
· Compile and merge documentation into single PDF files using Adobe
· Send UCC enforcement documentation to payment processors via appropriate channels
· Upload processor responses and documentation into internal systems
· Respond to internal requests related to UCC releases, second demands, or expedited enforcement
Key Competencies:

· Technical Proficiency: Comfortable navigating Excel, Adobe, Word, Outlook, and internal CRM systems
· Communication: Strong written and verbal communication skills with clients and internal stakeholders
· Problem Solving: Able to identify issues and take appropriate action or escalate when necessary
· Professional Judgment: Handles confidential and regulated information responsibly
Qualifications:
· High School Diploma or equivalent required
· 3 year of administrative or office experience required
· Experience with Microsoft Office Suite, particularly Excel
· Prior experience in one or more of the following areas is preferred:
o Client intake or onboarding
o Data entry or document processing
o Legal office or litigation support
o UCC, collections, or financial documentation workflows
· Strong data entry and document management skills
