The Service Assistant supports the daily operations of the service department by assisting customers, technicians, and office staff. In this role, you will be responsible for customer communication, service order management, shop scheduling, parts coordination, and general administrative support. Job Type & Schedule
- Job Type: Full-Time.
- Shift Hours:
- Summer Hours: 7:00 AM – 5:30 PM. M-Th
- Winter Hours: 8:00 AM – 4:30 PM. M-F
Core Responsibilities
- Customer Service: Answer incoming phone calls, greet guests for vehicle check-in/out, and handle emails or voicemails.
- Updates & Approvals: Provide customers with repair status updates, estimated completion times, and obtain approvals via phone, email, text, or in person.
- Service Order Management: Create and update service orders in Fullbay software, uploading photos, notes, and required documentation.
- Scheduling: Maintain the shop calendar, log upcoming appointments, and coordinate morning check-ins and end-of-day customer confirmations.
- Parts Coordination: Assist technicians with sourcing and ordering parts, process vendor returns, and organize incoming parts deliveries.
- Administrative Support: Assist the Service Manager and Office Manager with filing, scanning, document processing, and invoice preparation.
- Shop & Office Organization: Keep the front reception area clean and professional, organize paperwork, and monitor/restock shop supplies and PPE.
Qualifications
- Education: High School Diploma or GED
- Skills: Strong verbal/written communication and exceptional customer service skills.
- Tech-Savvy: Basic computer skills and a willingness to learn specific company software (experience with Fullbay is a major plus!).
- Attributes: Strong organizational and time-management abilities with the capability to thrive in a fast-paced environment.
- License: Valid Driver's License preferred.
- Experience: Previous customer service, administrative, or automotive/diesel shop experience is a plus, but not required—we will train the right person!
Pay: $18.00 - $25.00 per hour
