The Program Coordinator supports the day-to-day operations of the Decatur City Schools Foundation, ensuring efficient administrative processes, donor stewardship, financial tracking, and event coordination. This role is essential in maintaining strong relationships with donors, supporting fundraising initiatives, and assisting with the Foundation’s programs and events.
Administrative & Donor Relations
- Manage office correspondence, including donor communications and acknowledgments
- Prepare and send thank-you notes for donations, pledges, and contributions
- Process honorarium and memorial gifts, including acknowledgment cards
- Coordinate and manage Friends of the Foundation memberships
- Assist with donor record management and communications using CRM systems
- Process monthly donor statements and campaign billing in arrears
- Monitor and report overdue accounts to leadership
- Enter and process bills using accounting software (QuickBooks)
- Maintain accurate financial records and supporting documentation
- Assist with routine financial reporting and reconciliation tasks
- Maintain and update payroll deduction donation records
- Import and verify donation data within Bloomerang CRM
- Ensure accuracy and consistency across donor databases and reports
- Assist in coordinating the annual City Saver Card fundraiser, including:
- Preparing materials and tracking sales data
- Coordinating with schools and partners
- Supporting collection and reconciliation processes
- Support scholarship coordination and program follow-up (e.g., Million Word Challenge)
- Assist with planning and execution of key Foundation events, including:
- Teacher Appreciation initiatives
- Board meetings and school visits
- Internship program events and recognition ceremonies
- Back-to-School Institute and principal meetings
- Coordinate logistics, materials, and volunteer support for events
- Prepare materials for board meetings, including agendas, minutes, and reports
- Print and organize meeting documents for board distribution
- Maintain records of meeting minutes and approvals
- Support scheduling and coordination of board-related activities
- Support key Foundation initiatives and events throughout the year, including newsletters, annual reports, audits, fundraising campaigns, and seasonal programs
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Attention to detail and ability to manage multiple tasks simultaneously
- Proficiency in G-Suite a plus
- Experience with CRM systems (Bloomerang) and accounting software (QuickBooks) preferred
- Ability to work independently and collaboratively in a team environment
- Part-time, salaried position (approximately 20-25Â hours per week during the school year)
- Office hours align with the school calendar; reduced hours during summer months
- Occasional travel to local schools and events required
