Live Events Associate
Overview
We’re seeking a highly organized and detail-oriented Associate, Live Events to support the execution of live events, talent tours, and brand activations. This role is primarily focused on production coordination, vendor communication, and event logistics, while also supporting creative needs across events. You’ll play a key role in keeping projects organized and moving forward, while contributing to the development of event materials and on-site touchpoints.
The ideal candidate is operationally strong, creatively aware, and highly proactive. They are someone who is tapped into current trends and design, but thrives in execution. This person is excited to be in the details, supporting the production of high-impact experiences from planning through on-site delivery.
Key Responsibilities
Creative & Design Support
- Supporting in the creation of event-related assets, including:
Signage, one-sheeters, and partner-facing materials
On-site collateral and branded touchpoints
- Assisting in translating creative direction into polished, production-ready materials
- Bringing awareness of current trends, design, and cultural moments to support event execution
Event Production & Logistics
- Supporting in the planning and execution of:
Talent tours
Experiential Live Events and Activations
- Assisting with timelines, run-of-show documents, and production schedules
- Supporting in managing logistics across venues, partners, and internal teams
- Assisting on-site during events to ensure smooth execution
Partnership & Communication
- Supporting in communication with brand partners:
Sending pre-event materials and timelines
Distributing pre-arrival one-sheeters
- Helping ensure a seamless partner experience from production onboarding through event completion
Operations & Organization
- Supporting in maintaining internal trackers related to events and partnerships
- Assisting in building and organizing:
Pre-arrival one-sheeters
Event logistics documents and planning materials
Research & Vendor Support
- Conducting research for venues, vendors, and activation ideas
- Supporting in sourcing and coordinating external vendors and partners
- Assisting with vendor outreach and coordination
Team & Cross-Functional Support
- Supporting in Dear Media IRL event prep, including logistics and planning coordination
- Assisting with talent tour logistics and internal communication planning
- Taking ownership of smaller projects or components with guidance from senior team members
- Proactively identifying ways to support the team and improve processes
Qualifications
- 1–3 years of experience or internships in live events, experiential marketing, production, or related fields
- Strong graphic design skills (Adobe Creative Suite, Canva, Figma, etc.)
- Highly organized with strong attention to detail
- Strong communication and collaboration skills
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Basic understanding of: Event production workflows and Talent or brand-led events (a plus)
- Comfortable working both independently and as part of a team

Salary : $70,000 - $75,000
