Position Description:
The Office Manager plays a key role in supporting company leadership and ensuring smooth day-to-day operations within the office. This position combines administrative support, facilities coordination, and basic IT/equipment procurement responsibilities. The ideal candidate is organized, proactive, and comfortable working in a fast-paced, construction-focused environment.
Key Responsibilities:
- Provide administrative support to executives, project managers, and human resources, including preparing reports, formatting documents, developing presentations, and composing professional correspondence.
- Assist with obtaining and renewing state and local licenses required for operations; track expiration dates and provide leadership with information on continuing education requirements.
- Partner with accounting to secure and maintain local business licenses and occupational tax registrations.
- Oversee daily office operations for Lexington and Louisville offices, including managing incoming calls, routing inquiries, and maintaining a professional front-office presence.
- Coordinate with building management and vendors (cleaning, landscaping, HVAC, maintenance) to ensure proper facility upkeep, including minor office repairs and service requests.
- Maintain vendor contact lists, obtain quotes, and prepare comparison summaries for review.
- Coordinate copier maintenance, assist with troubleshooting, and keep directories up to date.
- Coordinate with IT providers to support new hire onboarding, including ordering and setting up hardware, software, and system access.
- Manage IT equipment and licenses for new and existing employees, and set up office access such as alarm codes and key fobs.
- Support company events and employee engagement activities, including holiday parties, appreciation events, and strategic meetings.
- Research vendors and obtain quotes for promotional items and company materials.
- Develop and maintain internal tracking tools and support SOP management.
- Facilitate execution of AIA documents.
- Handle mail, deliveries, and shipping logistics.
- Ensure the office environment is clean, organized, and fully stocked, including maintaining kitchen and breakroom areas.
- Perform other duties as assigned.
Physical Requirements:
Employees must be able to function well with regard to the following:
Occasionally lifting up to 50 lbs., routinely lifting 20 lbs.
Climbing, balancing, stooping, kneeling, crouching, crawling, bending, twisting, pushing, pulling, seeing and reading and reaching to perform everyday job tasks.
