About the Role
Oregon Provider is seeking a highly organized and professional Client Coordinator to manage client referrals, coordinate meet and greets, and ensure seamless communication between case workers, employees, and leadership. This position plays a critical role in the onboarding experience for new clients and requires strong attention to detail, discretion, and the ability to thrive in a fast paced environment.

Referral Management
• Respond promptly to new referrals from case workers
• Review referral location and send appropriate DSP bios
• Track referrals in internal systems
• Maintain clear communication with leadership
Meet and Greet Coordination
• Schedule meet and greets with case workers
• Add meetings to Google Calendar and employee schedules
• Prepare DSPs with clear expectations and professionalism standards
• Support structured conversations during meet and greets
Client Onboarding Administration
• Set up new clients in internal systems
• Create and organize Google client files
• Add clients to TSheets and scheduling systems
• Register clients within ODDS contracts
• Maintain accurate documentation and tracking logs
• Assign tasks within internal management systems
Daily Responsibilities
• Manage email communications
• Update and maintain the Client Tab
• Ensure documentation accuracy and confidentiality
Required Skills
• Strong organizational and multitasking abilities
• Excellent written and verbal communication skills
• Ability to handle confidential information with discretion
• Proficiency in Google Suite including Docs, Sheets, and Calendar
• Experience with scheduling and administrative coordination
• Strong attention to detail and problem solving skills
Preferred Experience
• Familiarity with Oregon Office of Developmental Disabilities Services
• Experience working with individuals with developmental disabilities
• Ability to maintain professional boundaries
• Strong interpersonal and relationship building skills
• Comfortable in a fast paced environment requiring adaptability
