MEDICAL RECEPTIONIST/SCHEDULER
JOB DESCRIPTION
Job Title: Medical Receptionist/Scheduler
Reports To: Office Manager
FLSA Status: This position does not meet the criteria for exemption from the provisions of the Fair Labor Standards Act; thus you will be eligible to receive overtime compensation, as appropriate. Overtime requires prior approval from your supervisor.
JOB SUMMARY:
Provides secretarial support in an urgent care environment, including patient scheduling,
appointments, confidential records, filing and billing. Prepares manuscripts, abstracts, and
slides by typing and formation documents. Work with others in a team environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Includes the following;
1. Preferably experienced in a healthcare setting.
2. Patient insurance verification, collection of deductibles, co-insurances, co-payments, and other fees.
3. Informs patients of costs of care being provided. Collects and post fees according to protocols; prepare and balance daily financial registers and submit all forms and fees to the fiscal department.
4. Warm outgoing personality, with the ability to interact effectively and in a supportive manner with persons of all backgrounds.
5. Ability to work well under pressure.
6. Requires good grooming, and dress habits which reflect a professional image. No shown nose rings or tattoo.
7. Respect and maintain privacy and dignity of patients: assure patient confidentiality at all times.
8. Must have computer knowledge in the use of, Microsoft Word, Excel, and Power point. Able to type routine correspondence and reports using personal computer.
9. Schedules patients for laboratory test, medical examinations, and consultations.
10. Relays information to patients regarding preparation for laboratory tests and examinations.
11. Assists patients or family members with completion of pre-registration forms.
12. Obtains pre-certifications as required by patients’ health care insurers or managed care providers.
13. Answers telephone, screens callers, relays messages, and greets visitors.
14. Maintains calendar, schedules appointments and meeting rooms for team lunches, work with office manager to accomplish this task.
15. Picks up and delivers materials as required, ie. Check the mail box and proper handling of

17. Maintain forms and office supplies required for front desk activities.
18. Makes travel and accommodation arrangements.
19. Secure the building at the close of each working day; turn off or unplug appliances and machines, and lock all entrances.
20. Assure the readiness of the reception area for each working day; open the building at the designated time and have all front desk activities fully operational at the start of business hours.
21. Reschedule all missed and new appointment
22. Call patient to confirm clinic appointment
23. Work the end of the month missed patient report
24. Work the linked patient reports each month assigned by each Bayou Health Plan
25. Other duties may be assigned.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/o Experience: High school diploma or general education degree (GED) and preferred six (6) months related experience and/or training; or equivalent combination of education and experience.
Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Have the ability to write simple correspondence. Have the ability to effectively present information in one-n-one and small group situations to clients and other employees of the organization. Prefer bilingual in English and Spanish.
Mathematical Skills: Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s. Have the ability to perform these operations using units of American money and weight measurement, volume and distance.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, o diagram form.
CERTIFICATES, LICENSES, REGISTRATIONS:
Completion of a course in Medical Terminology is preferred. Employee must be willing to attend continuing education courses at the request of the employer.

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate. Cell phones are not allowed to be used at the front desk. Employee must present to work each day in the assigned uniform color. Employee must also present to work with proper hygiene, proper hair and nail grooming, non-visible body piercing and tattoos (ask management if you are unsure of description).
Responsibility:
Responsibilities included: working under direct supervision of the medical provider while using standardized routines, leading, guiding and/or coordinating with other floor personnel. Utilization of some resources from other work units may be required to perform the job’s functions. There is a continual opportunity to have some impact on the company’s services. Understand and follow applicable Federal and State: Laws (e.g. HIPPA) and regulations (e.g. OSHA), professional standards, and ethical principles; complies with DCS policies and procedures to ensure patient safety and protect patient privacy and security. It is the responsibility of each employee to clock out properly anytime employee has left the clinic or is present in the clinic but not working. Violation of this will result in suspension without pay or immediate termination.
