Bilingual Onboarding Specialist (Spanish/English)

Position Summary
The Bilingual Onboarding Specialist is responsible for supporting the onboarding process for new employees and ensuring a positive and welcoming experience from hire through orientation. This position serves as a key point of contact for new hires, assisting with onboarding paperwork, employment documentation, orientation scheduling, and communication in both English and Spanish.
The ideal candidate is highly organized, detail-oriented, customer-service focused, and comfortable working with employees from diverse backgrounds.

This position operates primarily in an office environment and requires frequent interaction with employees, candidates, and management. Occasional travel between company locations may be required.

Essential Duties And Responsibilities
- Coordinate and facilitate new hire onboarding activities.
- Assist new employees with completing onboarding documents and employment forms.
- Communicate onboarding requirements and employment information in both English and Spanish.
- Conduct or assist with new hire orientations.
- Ensure all required onboarding documents are completed accurately and submitted on time.
- Maintain employee files and onboarding records in compliance with company policies and applicable laws.
- Assist with I-9 completion and employment eligibility verification procedures.
- Support onboarding system administration and employee data entry.
- Respond to employee questions regarding onboarding, company policies, payroll setup, and benefits enrollment.
- Coordinate technology, equipment, uniforms, badges, and other onboarding needs with internal departments.
- Track onboarding metrics and maintain onboarding reports.
- Assist with employee engagement initiatives and company events as needed.
- Provide administrative support to the Human Resources team.
- Perform other duties as assigned.
- Bilingual in English and Spanish (required).
- High school diploma or equivalent required; associate's degree preferred.
- Previous HR, onboarding, administrative, customer service, or recruiting experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Ability to handle confidential information with professionalism and discretion.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Experience with HRIS, payroll, or onboarding systems preferred.
- Ability to sit, stand, and walk for extended periods.
- Ability to lift and carry up to 20 pounds occasionally.
- Ability to operate standard office equipment.
