WORKING AT DC PREP

DC Prep’s Operations teams are essential to the success of our schools and play a critical role in driving strong academic outcomes for students. While they ensure that our campuses are safe, organized, and efficient, their work goes far beyond day-to-day logistics. Operations team members design and execute the systems, structures, and routines that allow our schools to run smoothly and enable teachers and leaders to focus on excellent teaching and learning.

Our Operations teams are highly detail-oriented and hold themselves to a high bar for operational excellence. They use data to monitor progress toward key goals, anticipate challenges, and continuously improve the systems that support our school communities. As trusted partners to teachers, school leaders, and the broader network, they collaborate closely to ensure that operational decisions reinforce a strong school culture and support the academic mission of the campus.

Operations team members also serve as the first welcoming presence for many students and families each day. As the first smiling face at the door, they play a pivotal role in building trust, fostering positive relationships, and strengthening families’ connection to DC Prep’s program and community. Through strong systems, thoughtful execution, and a deep commitment to our mission, DC Prep’s Operations teams help create school environments where students and educators can thrive.

Overview

The DC Prep Campus Operations Assistant is the person who is always glad to see you! As the first point of contact between DC Prep and its students, families, faculty and staff, and the general public, the Operations Assistant is responsible for consistently maintaining a welcoming, inclusive environment and providing excellent customer service to all. The Operations Assistant also functions as the Operations Site Leader's "right hand", working closely together to ensure daily school operations run smoothly and in support of students, families, and staff.

This is a full-time position with a schedule of 40 hours per week during the school year and 40 hours per week during the summer months. Additional night and weekend hours and occasional overtime may be required as needed for campus events and/or emergency situations. The Operations Assistant will report to the Operations Site Leader.

Responsibilities

Daily School Operations

  • Ensure the safety and security of students and staff by upholding a pattern of regular, predictable and punctual attendance on campus
  • Answer incoming telephone calls and greet everyone who enters the school building in a warm and welcoming way while upholding school safety protocol for campus visitors
  • Support daily attendance processes by recording tardy passes, early dismissals, and collecting excuse notes
  • Manage office and student supply inventory and procurement
  • Coordinate with custodial staff, food service staff, and the Operations Site Leader to ensure that immediate or unexpected cleaning or food service needs are handled appropriately
  • Report building maintenance needs to the facilities staff and support coordination with vendors and custodial staff on cleaning requests, repairs, deliveries, and/or installations
  • Dispense medications to students when the school nurse is not available
  • Coordinate special events and field trips under supervision of Operations Site Leader to ensure smooth and cost-effective execution
  • Report to campus as close to regular schedule as possible during inclement weather delays in order to communicate with families and students as needed

Family Support

  • Respond to in-person, email, and phone inquiries from families about DC Prep's programs and events
  • Assist new and returning families in completion of application and registration processes
  • Communicate messages regarding matters of academics and discipline to families as directed by the Principal or other members of the campus leadership team
  • Address concerns and questions of families in a way that supports the school's mission, vision, and values in a timely and accurate manner
  • Other duties as assigned

Business Administration

  • Provide general administrative support for the school, including but not limited to: photocopying, lamination, preparation of school mailings, filing, faxing, scanning, document organization and maintenance (including student files, vendor files, and timesheets), and creation of various documents for correspondence and communications to staff and families
  • Support the ordering of school meals and snacks under supervision of Operations Site leader
  • Support processing of National School Lunch Program applications and meal tracking as needed
  • Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities for campus leadership
  • Other duties as assigned

Essential Functions

The following are the essential functions of campus administrative operations positions at DC Prep. An individual must be able to perform each of these functions, with or without reasonable accommodation, to be qualified for the role.

Attendance and Schedule

  • Maintain regular, predictable onsite attendance at the assigned campus. Campus operations administrative staff must be present Monday through Friday, either from 7:15 a.m. to 4:15 p.m. or 8:00 a.m. to 5:00 p.m., as determined by the needs of the campus. This is a 12-month position; operations staff work during both the school year and summer months. These hours are essential because the front office must be staffed to receive students, families, and visitors throughout the operating day, manage incoming communications, and support daily school operations from arrival through dismissal.
  • Operations administrative staff are expected to report as close to their regular schedule as possible during inclement weather delays in order to communicate with families and students.
  • Additional night and weekend hours and occasional overtime may be required for campus events and emergency situations.
  • As a non-exempt position, operations administrative staff are required to clock in and clock out at the beginning and end of each workday and for lunch breaks, and are expected to record a full eight hours in the timesheet each workday.
  • Staff may occasionally be required to report to a different campus for professional development or network-wide events.

Core Functional Requirements

  • Serve as the primary, continuous point of contact for students, families, staff, and visitors at the campus front office, maintaining an in-person presence to receive guests, answer phones, and manage incoming communications while upholding campus safety protocols.
  • Perform sustained computer-based administrative work throughout the workday, including data entry, records management, attendance processing, supply procurement, scheduling, and document preparation.
  • Communicate effectively and professionally with families, staff, and visitors across routine and urgent situations, including relaying information from campus leadership, addressing family concerns, and coordinating with custodial, food service, and facilities staff to support campus operations.
