Job Summary
The Office Coordinator is responsible for overseeing and managing the school's enrollment processes, supporting families with enrollment inquiries, and ensuring smooth attendance management. This position plays a key role in maintaining effective communication with families, managing immunization and truancy compliance, and supporting the daily operations of the school office.
Responsibilities:
- Manage Enrollment Dashboard: Oversee and maintain the enrollment dashboard, ensuring that all data is accurate and up to date.
- Enrollment Inquiries & Family Support: Act as the main contact for enrollment-related inquiries and provide support to families throughout the enrollment process, offering guidance and assistance as needed.
- Immunization & Truancy Letters: Manage the distribution of immunization and truancy letters to ensure compliance with health and attendance policies.
- Support Attendance in Quickschools: Assist in managing student attendance records within the Quickschools system, ensuring accuracy and timeliness.
- Assisting with check-ins and ensuring the smooth operation of the arrival process.
- Monitor Enrollment Email Account: Check and respond to the enrollment email account daily, addressing any inquiries or concerns from parents and prospective families in a timely manner.
- School Walkthrough: Conduct a school walkthrough after arrival (around 9:00 AM) to ensure all areas are ready for the day and address any immediate needs.
- Dismissal Duty: Supervise dismissal at the main entrance (3:45 PM), ensuring students are safely picked up, and manage late pick-ups from 4:00 PM to 4:30 PM.
- Support Special Projects: Assist with other special projects or tasks as needed, providing additional support to school operations.
- Build and cultivate relationships with local schools and agencies to recruit students
- Represent DCB during local student recruitment invents including the annual DC EdFest
- Administer medications and provide first-aid to students when the school nurse and other AOM’s are not available.
- Other duties as assigned.
Requirements:
- 1 to 3 years in administrative support, customer service, or a school environment.
- High school diploma or equivalent required; additional coursework in administration or related fields is a plus.
- Previous experience in school administration or enrollment management is preferred
- Strong communication, organizational, and customer service skills.
- Proficiency with office software and school management systems (Quickschools, Gmail, etc.)
- Ability to manage multiple tasks efficiently and prioritize effectively.
- Excellent interpersonal skills and a positive, solution-oriented attitude.
- Ability to work independently and collaboratively in a team setting.
Salary : $23 - $26
