Responsibilities
- Greet clients warmly, establishing a positive first impression of the office
- Manage multi-line phone systems with courteous phone etiquette, directing calls accurately and efficiently
- Handle front desk duties including scheduling appointments, managing calendars, and coordinating meetings
- Perform data entry tasks using Microsoft Office applications, Google Workspace, and QuickBooks to maintain accurate records
- Support office management by organizing files, maintaining filing systems, and overseeing general clerical duties such as proofreading documents
- Assist with bookkeeping tasks including basic bookkeeping entries and invoice processing
- Provide customer support by addressing inquiries promptly and professionally, ensuring client satisfaction at all times
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace tools, and data entry software
- Prior clerical experience with familiarity in filing, proofreading, and document management
- Strong customer service skills with the ability to handle phone etiquette confidently across multi-line systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with QuickBooks or bookkeeping software is a plus
