What are the responsibilities and job description for the Project Coordinator position at DBA Construction, Inc.?
Project Coordinator will be responsible for managing the administrative tasks associated with setting up active construction projects after the transition from Estimating to Construction and through project completion. You will collaborate closely with Project Managers and Project Engineers to ensure accurate project setup and maintain documentation throughout the project lifecycle.
Key Responsibilities:
•Project Documentation: Organize and maintain detailed project records, ensuring all information is up-to-date and accessible to team members.
•Job Book: Create and maintain accurate Job Books for Project Management teams.
•Status Reporting: Create and monitor status reports, providing updates to Project Managers, project team members, and senior management.
•Risk Management: Identify and report potential project risks.
• Team Building: Work effectively in a team environment, illustrating excellent rapport with supervisors and peers.
•Multitasking: Successfully handle and prioritize multiple assignments, managing deadlines effectively in a fast-paced environment.
Administrative Support:
o Maintain accurate subcontractor and vendor lists.
o Maintain accurate Purchase Orders and Change Order lists.
o Issue Project Numbers upon project transition.
o Conduct project buyouts, including drafting and managing Subcontracts, Service Agreements, Work Orders and Purchase Orders.
o Track and maintain Subcontractor and Vendor correspondence and communicate issues to Project Management team.
o Work with the Safety Department for project-specific Emergency Action Plans.
o Assist Business Development with documentation needed for proposals.
o Work closely with project managers, finance/accounting teams, and other departments to ensure smooth project execution.
•Compliance and Reporting: Support the accounting department to ensure compliance with requirements, including but not limited to Bonds, Certificate of Insurance, DBE Affidavits and SRFs.
•Meeting Coordination: Schedule and attend pre-construction and hand-off meetings, as applicable.
•Field Offices: Assist with document control and office support. (Mileage will be reimbursed.)
•Project Closeout: Archive and manage the transition of project files from Active Construction to Completed Projects.
•Training: Provide training to other team members as directed by management.
•Other responsibilities: And any other duties needed to advance company goals.
