The Practice Manager will work on-site, rotating regularly between locations, and serve as the operational anchor of the organization.Join a mission-driven team where your leadership will directly influence clinical quality, client experience, and organizational success!BenefitsBase Salary: $80-85,000 per annumAnnual bonus incentivesHealth and Welfare Benefits401k with employer matchPaid time off & holidaysResponsibilities:Operational Leadership & Cross-Functional ManagementOversee daily operations across all Dayspring Behavioral Health locations, including administration, HR support, facilities, RCM coordination, scheduling, and clinical support teams.Partner closely with clinical leadership to ensure smooth program delivery, including clinical therapy, Psychiatric testing schedules, intake workflows, and crisis-response communication.Maintain strong provider and staff relations, fostering a collaborative, solutions-focused culture.Ensure consistent workflows, documentation standards, and communication across all sites.Client Access, Scheduling & ExperienceOwn and continuously improve the full client access pathway—from intake scheduling and the intake process through orientation and first treatment/testing appointment.Monitor and optimize insurance verification, financial counseling processes, and time-of-service collection expectations.Support client satisfaction through consistent communication standards, responsive service, and removal of operational barriers.Standard Operating Procedures (SOPs)Build, refine, implement, and maintain SOPs for administrative, billing-related, scheduling, clinical-support, and program-support processes.Train staff on all SOPs and hold teams accountable for consistent adherence.Conduct regular audits to ensure compliance with payer rules, documentation accuracy, and internal policies.Performance Oversight & AuditingOversee performance of administrative and support teams, including routine audits of scheduling, documentation accuracy, intake completion, onboarding, attendance tracking, and workflow adherence.Provide coaching, mentorship, and performance improvement plans when needed.Track KPIs related to operational efficiency, patient access, realization rate drivers, client satisfaction, and regulatory compliance.Financial & RCM CoordinationPartner with leadership and RCM teams to support budgeting, forecasting, and financial reporting.Ensure proper operational workflows that support high realization rates, accurate claims submission, and reduction of preventable denials.Identify cost-efficiency opportunities while maintaining high clinical standards and client care quality.Recruitment, Onboarding & Provider SupportSupport hiring, interviewing, and onboarding of therapists, interns, administrative staff, and clinical support personnel.Coordinate new-hire training schedules, credentialing needs, EHR onboarding, and integration into workflows.Monitor ongoing provider needs, including scheduling, documentation support, and operational issues affecting clinical work.Compliance, Quality & Risk ManagementEnsure adherence to HIPAA, OSHA, CARF standards, supervisory billing requirements, state regulations, and payer-specific clinical compliance rules.Maintain readiness for payer audits, internal audits, and CARF accreditation updates.Support the implementation of outcome tracking tools (e.g., PHQ-9, GAD-7) and other quality-assurance structures.Other duties as assigned to support organizational growth and operational excellence.Requirements:Education:Bachelor’s degree in healthcare administration, business, psychology, social work, or related field (Master’s preferred).Experience:5 years of progressive healthcare or behavioral-health management experience, preferably in a multi-provider outpatient setting.Proven ability to develop and enforce SOPs, improve workflows, and introduce scalable operational systems.Demonstrated success in cross-functional leadership, staff management, and provider relations.Deep understanding of outpatient behavioral-health operations, intake workflows, EHR systems, billing processes, and compliance requirements.Ability to analyze operational data, identify trends, and implement targeted improvements.Excellent interpersonal, written, and verbal communication skills.Ability to multitask, prioritize deadlines, and work independently within a fast-paced, multi-site environment.Proficiency with Microsoft Office, Google Workspace, and EHR systems (AdvancedMD preferred).Willingness to travel between sites and work on-site daily.Professional ExpectationsCommitment to ethical conduct, confidentiality, and HIPAA compliance.Consistent, reliable presence at assigned locations.Ability to work collaboratively with clinical leadership and ARC Health support teams.The pay range displayed on this job posting reflects the anticipated range for this position. A successful candidate’s actual compensation will be determined after taking factors into consideration such as the candidate’s work history, experience, skill set, and education.
