Duties
- Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and valued
- Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel
- Manage appointment scheduling and calendar management for various departments or professionals
- Handle data entry, filing, and document proofreading to maintain accurate records and support office organization
- Utilize computer skills with Microsoft Office, Google Workspace, and other office management software to prepare reports, correspondence, and presentations
- Support bookkeeping tasks using QuickBooks or similar accounting tools for basic financial record-keeping
- Maintain office supplies inventory, organize files, and ensure the front desk area remains tidy and professional at all times
Skills
- Excellent customer service skills with strong phone etiquette and interpersonal abilities
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and office management software such as QuickBooks
- Bilingual abilities are highly desirable to serve diverse client needs effectively
