Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Perform data entry and maintain accurate records using productivity software such as Microsoft Office and Google Workspace.
- Handle filing, document proofreading, and ensure all administrative paperwork is organized and up-to-date.
- Support calendar management and scheduling for meetings, appointments, and events to optimize time management.
- Assist with bookkeeping tasks using QuickBooks and support basic financial record keeping.
- Provide excellent customer service by addressing inquiries promptly and supporting clients or patients as needed.
- Coordinate office supplies procurement, manage inventory levels, and ensure the office environment remains organized and efficient.
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Familiarity with QuickBooks or similar bookkeeping software is preferred.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry.
- Exceptional customer service skills combined with professional phone etiquette; bilingual abilities are a plus.
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
- Demonstrated ability to handle multiple responsibilities efficiently while maintaining productivity.
