Day Job is a creative studio headquartered in Los Angeles with around 20 full time employees. We conceptualize brands from the beginning, and launch them into the world. We work largely in consumer spaces, branding or rebranding for companies like Recess, Fly By Jing, David, Grindr, A24, and The BBC. 


About the Role: We’re a boutique design agency looking for a Creative Operations / Resource Manager to support our creative team, producers, and leadership by keeping projects properly staffed and running smoothly. You’ll monitor workloads and timelines, coordinate freelancers, support recruiting efforts, track hours against budgets, and help nurture the culture of the studio. 


This role is ideal for someone who loves organization, communication, and helping creative teams do their best work. The Creative Operations / Resource Manager reports to the Director of Operations.


This is a full-time position, but will be initiated with a 3-month independent contractor trial period (full-time hours; standard freelance invoicing).


Key Responsibilities

1. Creative Team Management Support

  • Work closely with producers and the creative director to assign designers and creatives to projects based on their bandwidth, deadlines, and specific project needs, serving as the go-to person for all creative team resourcing.
  • Check-in with each designer/creative team member daily on project statuses, priorities, ETAs, and upcoming deadlines.
  • Maintain a clear, up-to-date view of each creative team member’s active assignments and bandwidths. Keep resourcing trackers updated.
  • Manage OOO calendar and creative team coverage planning.
  • Ensure appropriate creative staff are added to each internal external meeting invite.
  • Understand project timelines and deliverables, ensuring designers are hitting deadlines and prioritizing appropriately.
  • Develop, recommend, and implement operational systems to manage creative team workflows.
  • Advise producers of creative team statuses and issues needing attention, evaluation, resolution, or decisions. 
  • Flag resourcing risks early (overload, underutilization, conflicting deadlines) and suggest solutions.


2. Talent Acquisition Support

  • Research new designers, artists, and vendors to partner with, and maintain an organized database of contacts. Build and maintain a bench of pre-vetted designers, artists, and creative vendors suited to our studio’s needs.
  • Manage job postings: draft role descriptions, post to relevant platforms, and manage inbound applications.
  • Assist in the recruiting outreach process for freelancers, and contractors. Coordinate and schedule interviews with candidates. Prep, send and file freelancer contracts.
  • Maintain recruitment tracking logs and assist with applicant correspondence and follow-ups.
  • Handle freelancer booking and onboarding, including gathering portfolio links, setting expectations, and aligning on project scopes.


3. Budget and Hours Tracking Support

  • Ensure creative team members are accurately tracking project hours.
  • Support with time-tracking processes and accurate logging. Contribute to refining tools and processes for tracking time, budgets, and resourcing (e.g., spreadsheets, PM tools).
  • Reconcile freelancer timesheets and invoices against agreed rates and scopes.
  • Instruct freelancers on proper invoicing processes and schedules.


4. Team Building Initiatives

  • Help foster a positive, connected studio culture by planning small team-building moments and rituals.
  • Welcome new hires and freelancers, ensuring they feel included and informed from day one.
  • Partner with leadership to gather feedback on team morale and suggest low-lift initiatives to improve connection and collaboration.

 

Qualifications

  • Experience in a high-volume creative or agency environment (design, advertising, production, digital, etc.) in a resourcing, operations, coordination, project management, team management, or similar role.
  • Experience using project management and time tracking tools (i.e. Float, Harvest, Forecast, etc).
  • Strong grasp of how creative projects run, from brief to delivery.
  • Excellent organization and follow-through; comfortable juggling multiple projects and priorities.
  • Clear communicator who can partner well with designers, producers, leadership, and external partners.
  • Positive attitude with the ability to take feedback and adapt to new workflows, while feeling empowered to propose new ideas and streamline operations.
  • General knowledge of the hiring process, from recruiting/reviewing candidates to onboarding new hires and freelancers.


Nice to Have

  • Interest in design, branding, and advertising.
  • Strong creative sensibility when sourcing freelancers and vendors suited to specific projects.
  • Familiarity with Figma, Google Drive/Workspace, and spreadsheet software.
  • Experience supporting or managing project budgets.


Long-Term Growth Path

Long term, you’ll have the opportunity to grow into one of two paths:

  • Operations — shaping internal processes, tools, and systems as the studio scales.
  • Producer — owning project schedules, budgets, problem-solving, and client communication.


Compensation & Benefits

Salary Range: $85,000–$110,000 based on relevant experience.


After a successful 3-month contractor trial period, you will be offered full-time employment including:

  • Health insurance (100% paid by employer)
  • Unlimited PTO (scheduled in coordination with your supervisor)
