Position Summary:
The Office Clerk is responsible for performing specialized clerical work in processing and reviewing assessment records. This position applies and explains assessment regulations, procedures, and practices to the public.
Essential Job Functions:
- Maintain applications for exemptions and administer abatements.
- Assist the public in completing applications.
- Update field cards, map and parcel book, and computer records when receiving deeds from the Registry of Deeds. Prepare information sheets on new deeds.
- Provide information in person, by telephone, and in writing to property owners and others regarding assessment policies.
- Create and update transfer history charts which illustrate ownership and interest changes.
- Calculate interest conveyed to ownership principals.
- Identify and investigate errors made in the property transfer process.
- Identify and resolve defects of title or legal description.
- Post changes in ownership, taxability, mailing addresses, tax rate areas, and addresses to various records.
- Contact title companies, taxpayers, and attorneys regarding titles and transfers.
- Analyze and process a variety of surveys and questionnaires.
- Process parcel splits, tax cancellations and tax segregations; update files to reflect cancellations and segregations.
- Assist the public by answering routine questions relating to title of property, standard assessment and parcel maps, appraisal, and supplemental tax roll, referring more complex questions to the appropriate sources.
- Act as a resource to the public and to County employees regarding the appraisal records processed and maintained.
- All other duties as assigned.

- Knowledge of and ability to utilize proper telephone etiquette.
- Knowledge of various types of programs used in data entry operation.
- Knowledge of standard office equipment.
- Ability to make simple arithmetic calculations rapidly and accurately.
- Knowledge in reading legal descriptions of properties.
- Organizational, time-management and multitasking skills.
- Experience with Microsoft Office/Word.
Qualifications:
- High school diploma or equivalent.
- Valid driver’s license.
Physical Requirements
This position must be able to sit for long periods of time, operate a computer, office equipment, and occasionally lift up to 30lbs for up to 25ft.
Working Environment
While performing the duties of this job, the employee will be exposed to indoor conditions. The noise level in the work environment is usually moderate. Work may be required to be performed outdoors and in inclement weather and may be noisy, hot, humid, wet, cold, snow and/or dusty. This job may require the employee to physically access uneven terrain and to maneuver unfinished sites on foot to perform inspections.
