Central Supply:
Maintains par levels of quality medical supplies and equipment in the main central supply area and on the nursing floors, ensuring cost- effectiveness as well as compliance with applicable federal, state, and local standards. Applies competitive purchasing practicing for medical supplies and equipment.
Medical Reecords:
- Maintain and organize resident medical records (electronic and paper)
- Ensure records are complete, accurate, and up to date
- Process admissions, discharges, and transfers (ADT documentation)
- File physician orders, lab results, and clinical documentation promptly
- Monitor records for missing signatures, dates, and required elements
- Prepare charts for new admissions and thin/close records for discharges
- Manage record requests (hospital, legal, family, etc.) in compliance with HIPAA
- Scan and upload documents into the EMR system
- Maintain confidentiality and security of all resident information
Compliance & Quality
- Ensure compliance with state, federal, and CMS regulations
- Assist with audits, surveys, and record reviews
- Track and report delinquent records to nursing/medical staff
- Support QAPI initiatives related to documentation accuracy
Coordination & Communication
- Work closely with nursing, social services, and billing departments
- Communicate with physicians regarding incomplete documentation
- Coordinate release of information requests
Administrative Duties
- Maintain record retention and destruction schedules
- Manage medical records supplies and forms
- Create and maintain logs (admissions, discharges, record requests)
Qualifications
- Experience in medical records, preferably in long-term care
- Knowledge of HIPAA and healthcare documentation standards
- Familiarity with EMR systems
- Strong attention to detail and organizational skills
