Position Description:
The Part-Time Bookkeeper is responsible for performing routine financial tasks and maintaining accurate financial records for DAWN Center for Independent Living. This role handles day-to-day accounting functions, including processing payments, generating invoices, entering payroll allocations, and recording financial data in QuickBooks Online (QBO). The Bookkeeper also tracks receivables and prepares reports and information for review by management.

This role handles day-to-day accounting functions, including processing payments, generating invoices, entering payroll allocations, and recording financial data in QuickBooks Online (QBO). The Bookkeeper also tracks receivables and prepares reports and information for review by management.
Essential Duties:
Financial Management:
- Generate invoices in QuickBooks Online (QBO) on a monthly and/or quarterly basis.
- Record general ledger entries.
- Review bank deposits and receivables; record payments to the appropriate programs (advance payment vs. reimbursement).
- Input bills into QBO from invoices received (via email and other sources) and prepare check requests for payment.
- Process payments via online bill pay or by printing checks from QBO.
- Enter payroll allocation data into QBO and reconcile payroll runs with bank transactions.
- Review monthly expenses compared to prior months and identify significant variances.
- Input monthly Medicaid billing claims into the billing system (FGA) and the Medicaid website (NJMMIS).
- Assist management with month-end and year-end closing processes as needed.
- Maintain accurate and organized financial documentation.
Reporting:
- Prepare and submit reports as needed to support grant and program billing requirements.
- Assist in compiling financial information for management review.
- Ensure all financial transactions are recorded in compliance with internal controls and accounting standards.
- Retain supporting documentation for all financial activity to meet audit and contract requirements.
Non-Essential Duties:
- Perform other non-essential assigned duties and tasks as needed.
Required Knowledge/Skills/Attributes
- Experience with accounts payable, accounts receivable, payroll allocations, and bank reconciliation.
- Proficiency in QuickBooks Online and Microsoft Office (especially Excel and Outlook).
- Strong attention to detail and accuracy in data entry and recordkeeping.
- Ability to work independently and manage multiple priorities.
- Strong organizational and time management skills.
- Professional communication skills, both written and verbal.
- Familiarity with nonprofit accounting and grant billing.
- Understanding of basic fiscal concepts, such as budget tracking and financial reporting.
- Experience working in the nonprofit sector.
- Expertise in QuickBooks Online
- Associate’s or Bachelor’s degree in accounting, finance, or related field preferred.
- Minimum of 2 years bookkeeping experience.
- Hands-on experience with QuickBooks Online required.
- Experience with nonprofit financial management a plus.
