Overview
Davteq is hiring a Senior Document Control Specialist to support a major capital program. You'll be embedded with the program's Document Control Team, handling the full document lifecycle — processing, tracking, distribution, filing, audits, and training — on a fast-moving, federally funded infrastructure project.This is hands-on, high-visibility document control work on one of the largest active transit programs in the region. Key Responsibilities
- Perform advanced document control functions across the full document lifecycle — processing, tracking, filing, distribution, and maintenance of project records and documentation.
- Run daily document control activities and make sure submitted documents move through the system in line with established procedures, schedules, and program requirements.
- Support quality assurance reviews, coordinate workflows, and provide day-to-day guidance to junior document control staff on procedures and system usage.
- Maintain accurate, audit-ready records and support overall document management for the program.- Coordinate closely with stakeholders and project teams — engineers, contractors, third-party participants, and program partners — to keep documents flowing.
- Deliver ongoing training to program staff, contractors, third-party participants, and partner agency personnel to drive adherence to document control procedures, policies, and standards.
- Conduct audits on document quality, metadata standards, revision control, and filing accuracy — and resolve issues when you find them.
- Support operational management of the program's document control system.- Take on other related duties as assigned.
Requirements
- Minimum 5 years of progressive document control experience on a large capital infrastructure program (rail, transit, highway, bridge, airport, or large facility/campus development).
- Hands-on experience with an enterprise Electronic Document Management System (EDMS) — Oracle Aconex strongly preferred; Documentum, Hummingbird, ProjectWise, or similar also considered.
- Strong working knowledge of submittals processing, transmittals, RFIs, version and revision control, metadata standards, and records management.
- Proven track record running audits on document quality, metadata, and filing accuracy.- Proficiency in MS Office (Word, Excel, PowerPoint, SharePoint) and Adobe Acrobat.
- Excellent written and verbal communication — you'll be training contractors, coordinating with engineers, and writing procedures.- High school diploma or equivalent plus 7 years related experience, OR a bachelor's degree plus 5 years related experience.
- Ability and willingness to work onsite in San Jose on a full-time or hybrid schedule.
Preferred Qualifications
- Public sector or federally funded capital project experience.
- Familiarity with SharePoint/Office 365, Nintex workflows, Bluebeam, or BIM-based design tools.
- Experience supporting Progressive Design-Build (PDB) and Design-Bid-Build (DBB) delivery methods.- Prior work on Bay Area transit or rail programs.
