This position provides support to the senior members of the buying team. Tasks can include inputting sports and sponsorship packages, unrated and outer market audio and video, as well as confirming partner orders, assisting with post buys, audits and added value support. The Investment Buying Coordinator will support all aspects of the buying process. Heavy data entry and advanced Excel required. Responsibilities: Buyer Support: 90% Client Billing: 10% Daily Duties: Entering Audio, Video, sports packages and sponsorship buys as requested by supervisorResearch billing discrepancies with assistance from the buyerCall stations to research discrepancies as requestedAlert Supervisor of any workflow issues in a timely mannerEstablish rapport with Finance Department, Account Teams, Media DepartmentProvide clear communication with internal departments and prompt follow throughAdhere to strict calendar to meet dates for client billing and auditsRespond to vendor inquiries on discrepancy and makegood resolution and payment requestsOverflow to all accounts as needed to make department deadlinesWeekly monitoring of TV and streaming schedules and post buy tracking gridCall stations on Tuesdays for spot times and TRP delivery for week priorCompile data into Excel spreadsheet by station week and estimateCompile monthly into another document to track by month/quarter/yearReport deficits to buyer immediatelyAssist buyers with Post Buy Analysis preparation deck as neededPull weekly pacing docs for streaming audio and video and distribute to buyers Assist buyers with actualization of streaming invoices as neededAssist buyers with added value requests and recaps as neededConfirm all buys have been ordered and acceptedUpdate station contact list as neededAssist with monthly and annual client auditsAdditional Requirements: Skilled in math, Excel, Teams, Power Point, WordPrior experience or ability to learn Prisma-Media Ocean and InnovidMaintain a positive and professional attitude and work well within a team is mandatoryAbility to work overtime as neededWill attend and participate in video meetings on camera and in-person meetings as requested
