Bookkeeper / Office Administrator – QuickBooks Online (In-House, Part-Time)

Location: On-Site / In-House Only
Schedule: Part-Time, Monday–Friday (9:00 AM – 12:00 PM, flexible within business hours)

Job Description

We are seeking an experienced Bookkeeper / Office Administrator with expert-level QuickBooks Online experience to support our growing sign manufacturing business. This is a hands-on, in-house position working directly with ownership and management.

The ideal candidate has strong bookkeeping and accounting skills, experience managing accounts receivable and collections, and a solid understanding of small business tax requirements, including S-Corporations and LLCs. This role also supports insurance documentation and compliance, including Certificates of Insurance (COIs).

This role is 100% on-site during normal business hours. No remote, off-site, or after-hours work.Key ResponsibilitiesBookkeeping & Accounting (Primary)

  • Full-cycle bookkeeping using QuickBooks Online
  • Accounts receivable management, invoicing, payment tracking, and collections
  • Accounts payable, expense review, and bill payments
  • Bank and credit card reconciliations
  • Monthly and quarterly Profit & Loss (P&L) statements
  • Cash flow reporting and financial analysis
  • Sales tax tracking and reporting
  • Maintain accurate financial records for CPA review

Payroll, Tax & Compliance

  • Payroll processing using ADP Run
  • Payroll taxes and employment tax filings
  • Preparation and review of tax reports
  • Working knowledge of S-Corp and LLC tax considerations
  • Identify bookkeeping items that impact business taxes

Office Administration & Insurance Support

  • General office administration and organizational support
  • HR assistance and payroll coordination
  • Insurance documentation support, including requesting, tracking, and organizing Certificates of Insurance (COIs)
  • Assist with insurance-related paperwork for vendors, landlords, and project requirements
  • Project scheduling and task tracking (Trello)
  • Gmail correspondence and phone support
  • Organizing receipts, invoices, contracts, and financial documents
  • Assist management with administrative and operational tasks

Required Qualifications

  • Expert experience with QuickBooks Online (REQUIRED)
  • If you do not have QuickBooks Online experience, please do not apply
  • Bookkeeping and accounting experience (small business preferred)
  • College degree in Accounting, Finance, or equivalent experience
  • Experience with payroll processing and employment taxes
  • Experience with accounts receivable and collections
  • Knowledge of small business tax principles (S-Corporations / LLCs)
  • Experience supporting insurance documents and COIs preferred
  • Strong attention to detail and accuracy
  • Organized, reliable, and professional
  • Comfortable working on-site in an office environment

Preferred Experience (Nice to Have)

  • Experience in manufacturing, construction, or trade-based businesses
  • Prior in-house bookkeeping role (non-outsourced)
  • Experience working directly with ownership or small management teams
