We are seeking a highly organized Administrative Assistant and Warehouse Support Staff to support daily operations in a dynamic art studio specializing in large-scale sculptural fabrications and installations as well as the separate Creative non fabr. This role combines administrative coordination with hands-on warehouse support. The ideal candidate thrives in a creative, fast-paced environment, is detail-oriented, and enjoys balancing office responsibilities with physical, logistics-based tasks. This role is primarily on site and involves working at a San Francisco warehouse location.
This position plays a critical role in ensuring smooth studio operations, accurate inventory management, and efficient project coordination from concept through installation.
The ideal candidate is highly organized, tech-comfortable, and proactive, with prior experience in an art-adjacent environment. This position requires reliability, sound judgment, and the ability to manage a variety of administrative and logistical tasks with minimal supervision.
Administration & Support
- Provide day-to-day administrative support to studio leadership and production team
- Manage schedules, appointments, and project timelines
- Coordinate meetings, take notes, and track action items
- Maintain organized digital and physical filing systems
- Assist with preparing project documentation, proposals, and invoices
- Respond to emails, phone calls, and general studio inquiries
Warehouse & Inventory Management
- Maintain organized warehouse and storage areas
- Track and manage inventory of materials, tools, hardware, and supplies
- Receive, inspect, and log incoming shipments
- Prepare outgoing shipments, including packing, labeling, and coordinating freight pickups
- Assist with material sourcing and supply runs
- Monitor stock levels and reorder supplies as needed
- Maintain equipment logs and ensure tools are stored properly
Production & Project Support
- Assist production team with light fabrication prep and material staging
- Help prepare sculptures and components for transport and installation
- Coordinate logistics for deliveries and installation schedules
- Support installation teams as needed (local travel may be required)
- Ensure studio safety protocols are followed and workspaces remain clean
General Studio Operations
- Maintain a clean, organized, and efficient studio environment
- Support workflow improvements and operational systems
- Assist with special projects and studio events as needed
- 1–3 years of administrative, warehouse, or operations experience preferred
- Ability and willingness to work in person at multiple San Francisco locations
- Strong organizational and time-management skills
- Comfortable working in both office and warehouse environments
- Valid driver’s license preferred
- Interest in art, design, fabrication, or creative industries is a plus
- Proficiency in AutoCAD and/or comparable 3D rendering software preferred
- Comfort with common technology platforms (Google Workspace, Apple devices, Zoom, cloud-based tools)
- Excellent written and verbal communication skills
- Dependable, detail-oriented, and self-directed
- Familiarity with San Francisco logistics and geography preferred
- This position is a W-2 employee role, not an independent contractor position
- Employment is at will, meaning either the employee or employer may terminate employment at any time, with or without cause or notice, in accordance with California law

- This is a hybrid in-person, part-time role requiring consistent weekday availability. While some tasks may occasionally be handled electronically, this position is not fully remote and requires regular (min. 2 days/week) on-site presence at the San Francisco warehouse. Physical requirements of the job include sitting and standing for long periods of time and moving up and down stairs frequently.
