Summary
Responsible for facilitating the planning and management of each assigned project in correspondence with project managers, superintendents, and the CFO Daily duties include various items from project start-up through completion – subcontract facilitation, ensuring vendor compliance, billings and associated collections, and review of project payables prior to submission to project managers (to be added late 2026).
Duties and Responsibilities
· Assist Project Managers in the handling and organization of all project materials.
· Writing and Managing Subcontracts/Purchase Orders, RFI, Change Orders, Submittals, etc.
· Understanding AOLA and permits.
· Responsible for job setup and loading of project documents understanding of web-based project collaboration Viewpoint knowledge a Plus.
· Understanding of AIA Documents.
· Flow of information to Field Personnel.
· Entry of Accounts Payable and Accounts Receivable Paperwork.
· Responsible for preparing and maintaining project close outs and warranty documents.
· Attendance of jobsite meetings with Project Manager on an as needed basis.
· Ability to conduct oneself in a professional manner and maintain office etiquette.
· Essential to offering effective levels of customer service to create client satisfaction.
· Contributes to the efficient day-to-day operation of Davie Construction and supports the work of management and other staff.
· Prepare, submit to owner representatives, and manage the accounts receivable processes (issuance of billings to collections).
· Monitor AR Aging reports to ensure timely collections.
· Assist with tax compliance activities such as sales tax reporting and other tax filings when necessary.
· Coordinate and support internal and external audits by preparing schedules and documentation.
· Collaborate closely with CFO to provide financial information critical to Company performance and decision-making.
· Contribute to continuous improvement of financial processes, internal controls, and Software initiatives.
· Management has right to assign or reassign duties and responsibilities to the job at any time.
Job Specifications
· Education/Experience - Minimum of two to three years of related construction administrator/accountant work experience.
· Proficiency in construction accounting software such as Viewpoint, or similar ERP systems is preferred.
· Excellent analytical, organizational, and communication skills.
· Proficient in Microsoft Office, especially Excel (pivot tables, v-lookups, etc.).
· Ability to manage multiple deadlines, prioritize tasks, and work effectively independently and within a team.
· Knowledge in compliance requirements required by owners and from subcontractors (sales tax, prevailing wage, minority reporting, insurance requirements, etc.)
· Certificates/License Requirements – Must have a valid Driver’s License.
Knowledge, Skills and Abilities
· Language Skills – Ability to read, analyze and interpret general business forms, journals, technical drawings, and governmental regulations. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and general public.
· Reasoning Ability – Ability to carry out instructions furnished in written, oral or diagram form. Multi-tasking and Prioritizing are essential functions on a daily basis.
· Computer Skills – Must be knowledgeable in using a computer and familiar with such programs as Office 365, One DriveSharePoint, and Trimble: Viewpoint.
Physical Demands and Work Environment
· Must be able to remain in a stationary position 50% of the time.
· Person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
· Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
· Must be able to communicate efficiently and effectively with other employees.
· Employee must occasionally lift and/or move up to 25 pounds.
