Job Description
The Office Operations Associate will work directly with and report to the Office Operations Manager and will serve as a core operational support function for the company’s established property management business serving an existing portfolio of client homes valued at over $400M. The ideal candidate will be well-versed in the office administrative tasks of a growing business, including AR/AP, invoicing, bookkeeping, and payroll, while also possessing the demeanor to effectively coordinate and communicate with client homeowners, subcontractors, and property management field employees. Success in the role will require the organizational skill to manage multiple concurrent projects that support the field staff in the delivery of timely, proactive, and high-quality management of the company’s portfolio of luxury properties.
Training & Development
The Office Operations Associate’s tenure will begin with extensive fully-paid training led by the Office Operations Manager, who brings deep experience in property management office, financial, and administrative operations. Upon completion of training, the Office Operations Associate will take primary responsibility for executing and improving day-to-day office workflows and administrative processes that support the company’s property management operations. Over time, the role will expand to include direct administrative support for a defined portfolio of homes and associated field staff, while continuing to partner closely with the Office Operations Manager on companywide office and financial initiatives. The current office team is experienced, organized, and highly collaborative, providing the successful candidate with meaningful opportunities for learning, career development, and compensation growth as the business continues to scale.
Responsibilities
- Support and collaborate on core administrative workflows including AR/AP, invoicing, bookkeeping, employee onboarding, and payroll, under the direction of the Office Operations Manager.
- Partner with cross-functional teams to support the design and implementation of operational efficiencies.
- Provide prompt, professional response and follow-through regarding both client homeowner inquiries and property management field staff requests.
- Supervise multiple concurrent administrative projects in the support of the company’s property management activities ensuring client homeowner, subcontractor, and property management field staff satisfaction.
Education & Experience
Degree Requirements: High school degree or equivalent. College degree preferred.
Experience: 3 years of experience with credit given and preference for successful college graduation and/or bookkeeping training or experience. The core experience of the successful candidate will be in office administrative and bookkeeping tasks. A general working knowledge of the construction trades and associated terminology would be ideal.
