Job Overview
We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This vital role involves overseeing daily administrative tasks, managing office procedures, supporting staff, and maintaining a welcoming atmosphere for visitors and team members alike. Responsibilities

  • Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professional phone etiquette.
  • Operate multi-line phone systems efficiently to ensure seamless communication within the office and with external contacts.
  • Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize team productivity.
  • Maintain accurate records through data entry, filing, proofreading, and updating office documentation using Microsoft Office and Google Workspace tools.
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to assist financial processes.
  • Provide exceptional customer service by addressing client needs promptly and professionally while supporting administrative functions like copying, scanning, and mail handling.
  • Supervise clerical staff or assistants when applicable, ensuring all office procedures align with organizational standards for efficiency and professionalism.

Requirements

  • Proven experience in office management or administrative roles with a strong background in clerical duties and customer support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy skills.
  • Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively in a fast-paced environment.
  • Knowledge of bookkeeping software such as QuickBooks is preferred; experience with data entry and filing is essential.
  • Excellent phone etiquette coupled with superb proofreading skills to ensure clear communication.
